Job Description

We are seeking a professional, warm, and people-focused Receptionist to serve as the welcoming face of Mallusk Enterprise Park. This is a varied and rewarding role where exceptional customer service, a positive attitude, and a personable manner are essential. You'll be the first point of contact for tenants, clients, and visitors, playing a key part in ensuring their experience at the Park is friendly, efficient, and high quality. The role includes front-of-house responsibilities, meeting and conferencing support, and a range of administrative duties that support the smooth running of both the Business Advice Centre and the Enterprise Hub.

Key Responsibilities



Front of House



Conferencing & Meeting Facilities o Manage all enquiries and bookings for rentable space across the Park Maintain a photo library and regularly create content for the Marketing team Coordinate catering requirements (tea/coffee/biscuits/lunch/hot food) to meet client expectations Set up and clear down meeting rooms as per client specifications, including AV equipment Greet clients and visitors warmly, collect feedback post-booking Ensure meeting spaces are clean, well-stocked, and presentation-ready Liaise with cleaning staff and monitor stock of consumables Load/unload dishwashers and maintain tidy communal areas

Administrative Support - Business Advice Centre & Enterprise Hub



Provide general administrative support across both departments Maintain the SMART Parking database Manage incoming and outgoing mail and parcels Answer and direct telephone calls; process general email enquiries Update tenant and key fob databases; issue/cancel fobs as directed by the Finance and Facilities Manager Keep internal records and logs up to date Conference Facilities & Serviced Offices Oversee daily usage of serviced spaces Provide ad hoc admin support to users of these spaces Ensure coffee/tea docks are stocked and operational Manage post and parcel handling for serviced office tenants

Essential Criteria



Candidates must demonstrate the following:

1. Minimum 2 years' experience in a receptionist or administrative role within the past 5 years

2. Strong typing and word processing skills

3. GCSE Maths & English at grade C or above (or equivalent)

4. Proficiency in Microsoft Office applications (Word, Excel, Outlook etc.)

5. Excellent verbal and written communication skills

6. Proven ability to deliver outstanding customer service in a professional setting

Desirable Criteria



1. Experience in a front-of-house or customer-facing role within the past 5 years

2. Familiarity with social media platforms such as Facebook, Twitter/X, Instagram and LinkedIn

3. Naturally warm, friendly, and approachable personality with a professional attitude
