We are seeking a professional and friendly Receptionist to be the first point of contact for our organisation. The ideal candidate will possess excellent communication skills and a warm demeanour to create a welcoming atmosphere for clients and visitors. This role requires strong organisational abilities and proficiency in various administrative tasks, ensuring the smooth operation of our front desk.
Responsibilities
To have a thorough knowledge of all practice procedures
To work in accordance with written protocols
Maintain and monitor the practice appointment system
Process personal, telephone and e-requests for appointments
Answer incoming phone calls, transferring calls or dealing with the callers' requests appropriately and efficiently
Signpost patients to the correct service
Initiating contact with and responding to requests from patients, team members and external agencies
Code data onto the clinical IT system
Photocopy documentation as required
Data entry of new and temporary registrations and relevant patient information as required
Input data into patients' healthcare records as necessary
Direct requests for information, i.e., SAR, insurance/solicitors' letters and DVLA forms to the administrative team
Manage all queries as necessary in an efficient manner
Complete opening and closing procedures in accordance with the duty rota
Maintain a clean, tidy, effective working area at all times
Monitor and maintain the reception area and notice boards
Support all clinical and administrative/management staff with general tasks as requested.
Experience
Previous experience in a receptionist or administrative role is preferred but not essential.
Strong organisational skills with the ability to multitask effectively in a busy environment.
Excellent verbal and written communication skills, demonstrating a professional telephone manner.
A proactive attitude towards problem-solving and the ability to work independently as well as part of a team.
