An exciting opportunity as a Receptionist/Coordinator at Hoole Medispa, you will be the first point of contact for patients , maintaining and developing all patients on their clinic journey. This role is the most important within the team, the face of the clinic supporting a professional team in the smooth running and growth of the clinic.
Duties
- Greet and assist patients in a courteous manner
- Answer and direct phone calls with professionalism, taking payments, rebooking appointments, upselling treatments, products and vouchers.
- Perform data entry tasks accurately and efficiently, using Pabau the online booking system, ensuring patient data is update and correct.
- Ensure columns are full, waiting lists are open and aim to fill, give follow up call backs to patients.
- Maintain and manage emails, offices supplies, equipment, stock control and ordering of products
- Assist with clerical tasks such as filing, photocopying, and scanning documents
- Ensure all areas and maintained clean and tidy
- Handle basic bookkeeping tasks using Zero
-Marketing - as per guidance from the clinic manager including Social Media platforms and updating regular before and after pictures to the whats app
-Ad hoc tasks from the owner/manager
Skills
- Proficient in administrative tasks and strong data entry skills
- Required to train and learn the Zo Skincare brand and have good knowledge of treatments and services we offer
- Excellent phone etiquette
- Able to use Social media and other marketing platforms
- Competent in computerised systems
- Knowledge of Office procedures and equipment
- Professional attitude and team approach
- Strong organisational abilities for multitasking effectively
