Soha is committed to improving the accessibility, security, and governance of our information. As part of our digital transformation and in preparation for the decommissioning of legacy document storage systems, we are undertaking a time-limited project to digitise a large volume of paper records.
In this temporary role, you will report to the Data Governance Lead and work closely with colleagues in Business Transformation, Office Services, Development, and Home Ownership, to ensure that key paper documents are appropriately reviewed, scanned, indexed, and archived into SharePoint. You will also support the Office services team with general office management duties.

Key Duties
Prepare and organise physical documents in readiness for scanning, ensuring documents are complete and legible
Liaise with internal teams to confirm document retention and destruction requirements based on agreed schedules
Digitise documents using a high-resolution scanner, adhering to formatting, file naming, and indexing protocols
Upload scanned files to SharePoint in accordance with the agreed folder structures and metadata tagging
Maintain an accurate log of scanned and destroyed files, ensuring data integrity throughout the process
Flag any issues, inconsistencies, or queries about document types or scanning quality to the supervisor promptly
Assist with coordination of boxes and storage spaces, ensuring paper records are handled securely and efficiently
Ensure adherence to GDPR and Soha's Data Protection Policy when handling personal and sensitive records
Sending outgoing post and scanning and distribution of incoming post
Handling general enquiries, printing, and issuing of staff IDs
Arranging repairs/services for the office in general, as well as company vehicles
What you will need
Strong organisational skills and attention to detail
Ability to work independently and maintain focus on repetitive tasks
Basic understanding of document scanning processes or office-based admin experience
Familiarity with Microsoft Office, particularly SharePoint, or willingness to learn
Good communication skills and the confidence to liaise with staff at all levels
Discretion when handling confidential and sensitive documents
Willingness to carry out physical handling of boxes and files
It would also be nice to have
Previous experience in records management, scanning, or archiving
Familiarity with GDPR principles relating to information handling and retention
Past experience of general office management and administration
Experience working in housing, local government, or regulated sectors
Contract Type: Temporary (4 months)
Salary: 24,000
Hours: Full-time, 37 hours per week
Location: Based at Soha's main office in Didcot
