What you'll be doing





We have an exciting opportunity for a Regional Support Assistant to join our team based in Kings Cross. In this role, you will provide efficient and proactive support to the management team in all aspects of depot management administration. You will ensure the seamless implementation of LNER human resources and related policies and procedures. Your responsibilities will include supporting line managers with various HR-related processes such as AIP, sickness, return to work, recruitment, selection, probation, occupational health, drug screening, travel documentation, long service awards, and incentive schemes. Additionally, you will coordinate arrangements for grievance, disciplinary, and AIP-related meetings, maintain HR records, purchase order systems, and handle HR-related correspondence and documentation with precision and care. High levels of confidentiality are essential in this role




Key Responsibilities




Maintaining HR Records:

Efficiently manage HR-related records using LNER's systems.

Providing Support:

Offer assistance to other Regional Support Assistants as needed.

Coordinating Meetings:

Arrange and take detailed notes and formal minutes at grievance, disciplinary, and AIP-related meetings and interviews.

Supporting Line Managers:

Assist line managers with various HR-related procedures, including: + AIP, sickness, and return to work processes
+ Recruitment, selection, and probation, fully utilizing available HR systems
+ Occupational health and medicals, liaising with local OHN and coordinating appointments
+ Drug screening
+ Travel documentation
+ Long service awards and incentive schemes
+ Providing HR management information and KPIs as required
+ Ordering and issuing vouchers for safety-critical grades
+ Handling HR-related correspondence and written documentation, producing responses where applicable

Note-Taking and Minute-Taking:

Accurately capture and produce clear, concise notes and minutes from meetings, ensuring timely distribution and secure record-keeping.

What You'll Need

Strong ability to listen actively, capture key points, and produce accurate and professional meeting notes and minutes.

Experience in the application of financial control procedures.

As we are a 7 day a week business there may be the occasional requirement to work a Saturday or Sunday in lieu of a day off during the week, so a flexible approach would be advantageous.
