The registration office provides Birth registration, Death registration, Marriage, Civil Partnerships, Citizenship and Nationality Checking services. The service is also looking to expand and provide other celebratory services such as baby naming. This job supports that function by: -
1.1 To provide an efficient and effective registration services for births, deaths, marriages, civil partnerships and administration of Citizenship ceremonies in line with the statutory framework, and service standards as determined by the Proper Officer appointed by the Council.
1.2 In partnership with the Home Office, to provide a checking service for applications for British Citizenship.
1.3 To collect and account for monies received.
2. PRINCIPAL ACCOUNTABILITIES
Administrative Duties
Telephone answering and dealing with office information and certificate application requests.
Dealing politely and courteously with personal callers.
Dealing promptly and efficiently with correspondence either by post, fax or email.
Make bookings for customers wishing to use our services, either via telephone, fax, internet or face to face and follow up of provisional booking.
Logging of both incoming and outgoing correspondence on a computerised system.
Searching of manual and computerised indices for historic records of birth, deaths, marriages and civil partnerships.
Preparation of hand written and computerised copies of birth, death, marriage and civil partnership certificates
Assisting customers with completion of forms.
General photocopying, filing etc.
Booking of venues, catering and civic dignitaries for citizenship ceremonies.
Accounting for all monies received daily.
Maintaining database information.
Reception duties at the reception counter on a rota basis.
Registration Duties
Registration of Births, Deaths, Marriages, civil partnerships as required and in accordance with registration law.
Ensure up to date with legislation, by updating handbook and circulars.
Issuing certificates for disposal of body and provide advice on removal and disposal as appropriate.
Notify HM Coroner of certain deaths, in line with the General Register Office (GRO) guidelines.
Notify certain organisation of death of people in certain professions or receiving certain occupational pensions.
To advise and deal with applications for corrections, re registrations, and change of forename in accordance with guidelines issued by the Registrar General.
Attest notices or marriage and civil partnership and deal with comparison copies as appropriate.
Entering of notices for marriage and civil partnership in the appropriate books and display the notices on public notice boards.
Prepare and send copies of notices for comparison to other registration districts as appropriate.
File notices received from other districts accurately.
Interview couples prior to their marriage or civil partnership ceremony to establish there is no fundamental difference between information contained on notices and that given on the day and to discuss ceremony content and to ensure that the content complies with regulations issued by the GRO.
Assist couples in preparing for their marriage or civil partnership ceremony by providing suggestions for poems, reading and/or music.
Issues of certified copy certificates as appropriate and extract and account for fees.
Responsible for the maintenance, security and safety of all registers, schedules, certificates and other documents.
Preparation of Quarterly copies within timescales for submission to the GRO.
Report suspicious marriages or civil partnerships to the GRO for investigation.
Ceremony Duties
Conducting marriages, civil partnership and citizenship ceremonies and other ceremonies at various appropriate venues within the borough.
Compiling and maintaining records of provisional bookings and following up on unconfirmed booking.
Liaison with approved venues to ensuring licensing arrangements are up to date and appropriate appointment times are available.
Nationality Checking Service
To confirm the identity of the applicant and check all relevant documents are present.
Check the appropriate fee has been submitted with the application.
Make copies of original documents and certify copies returning originals to applicant.
Forward application to the Home Office by special delivery.
Account for fees due to Southwark.
