Job Purpose:
To support the efficient and accurate processing of returned goods by managing documentation, coordinating collections, updating systems, and communicating with internal teams and external stakeholders. The Returns Administrator plays a key role in ensuring returns are handled in line with company policy, warranty terms, and operational targets.
What You'll Do:
Health, Safety & Compliance
Ensure all return records are audit-ready and filed correctly
Support internal and external audits by providing documentation and system reports
Follow procedures for safe handling and disposal of damaged or hazardous items
Returns Processing & Documentation
Accurately log return requests and ensure all required documentation is completed (e.g. inspection reports, return authorisations, claim forms)
Categorise returned items correctly (e.g. restockable, repairable, faulty, scrap) based on inspection outcomes and guidance from the Returns Controller
Maintain up-to-date records of all returns and ensure traceability of stock movements
System Updates & Inventory Coordination
Update the warehouse management system to reflect return status and stock adjustments
Flag discrepancies between physical stock and system records to the Returns Controller
Liaise with warehouse teams to ensure returned items are moved and stored appropriately
Customer & Engineer Communication
Contact customers and field engineers to arrange collections of returned goods
Confirm collection details and ensure clear communication to avoid delays or missed pickups
Handle basic queries and escalate complex issues to the Returns Controller
Supplier & Warranty Support
Assist in preparing documentation for supplier returns under warranty
Track progress of warranty claims and ensure credits or replacements are logged
Maintain supplier contact records and warranty terms database
Who You Are:
Essential:
Experience in administration, logistics, or warehouse operations
Strong attention to detail and accuracy in record-keeping
Good communication skills and ability to work with internal and external stakeholders
Basic understanding of inventory systems and stock control
Organised and able to manage multiple tasks in a fast-paced environment
Desirable:
Experience in returns handling or warranty processing
Familiarity with products such as boilers, heat pumps, solar panels, or EV chargers
Knowledge of warehouse management systems (WMS)
