Role Purpose
The Rota Coordinator is responsible for creating, maintaining, and optimising staff rotas for our care team. You will ensure all clients receive timely, consistent care and that carers are efficiently scheduled, informed, and supported--especially during emergencies.
Key Responsibilities
Rota Management:
Create and maintain weekly and monthly rotas for care staff using OneTouch.
Allocate shifts based on staff availability, client needs, and travel efficiency.
Ensure rotas are communicated clearly and promptly to all staff
Emergency Response:
Act as the first point of contact for rota-related emergencies (e.g., sickness, last-minute changes).
Reallocate staff or adjust schedules to ensure uninterrupted care delivery.
Liaise with clients and families to manage expectations during emergencies.
Communication:
Maintain clear, professional communication with care staff, clients, and management.
Provide regular rota updates and handle queries or concerns from staff.
Data & Compliance:
Ensure all rota records are accurate and compliant with CQC and data protection requirements.
Support payroll by ensuring accurate recording of hours worked.
Continuous Improvement:
Identify and implement improvements to rota planning and emergency management processes.
Collaborate with management to optimise route planning and staff allocation.
Key Skills & Experience
Previous experience in rota/scheduling coordination (ideally in healthcare or domiciliary care).
Strong organisational and problem-solving skills.
Excellent communication and interpersonal abilities.
Ability to remain calm and decisive under pressure.
Confident with technology--experience using scheduling software is a must
Understanding of CQC regulations and data protection best practices (preferred but not essential).
Empathy and commitment to supporting both staff and clients.
