Introduction:



Abbey Business Interiors specialise in the supply of commercial furniture Interiors and have been doing so for 30 years. We understand no two customer's needs are the same, and work alongside our customers to ensure we deliver successful solutions. The business became an EOT in November 2023 and the current directors are looking to build on the success of Abbey in both divisions setting an annual underlying growth target of 10-15%.



Role Purpose:



To provide sales admin support to all members of staff at Abbey and contribute to the smooth running of the Abbey office.



Key Responsibilities:



Prepare quotations using NetSuite and Excel



Place purchase orders and manage the full order process, including:



o Chasing order acknowledgements



o Checking goods received



o Uploading and maintaining records in NetSuite



o Updating the Sales team on order progress and flagging any issues



Maintain accurate records in NetSuite in line with ISO requirements, and follow up with Sales for all required documentation



Assist with coordinating deliveries to the warehouse and directly to clients where required



Resolve order issues, including damaged, incorrect, or missing items



Support the day-to-day running of the office, including:



o Answering phones and taking messages



o Ordering stationery and kitchen supplies



o Booking hotels and transport



o Maintaining a tidy and organised office environment



Order samples for the Sales team and keep the samples area in 'The Space' meeting area up to date



Produce delivery notes and schedules of activities for projects where required



Prepare project sheets for live projects as required



Liaise closely with the Sales and Logistics/Warehouse teams to ensure all parties have the necessary information



Research products for quotations and source suitable alternatives when required



Gather pricing and product information for furniture and fabrics to support the Sales team



File and maintain paperwork accurately, in line with Admin team procedures



Process credit card orders and maintain accurate payment logs for accounting purposes



Qualifications, Skills & Professional Experience:



The successful candidate will have strong IT skills, with experience using Microsoft Office and the ability to learn new systems such as NetSuite. You will be comfortable working as part of a team, with good numeracy skills and a high level of accuracy. You will have excellent communication skills, both written and verbal, enabling you to deal professionally with suppliers and clients and to produce clear, well-presented quotations and emails. You will be highly organised, with strong attention to detail, able to manage your time effectively and prioritise tasks. You will also be responsive and adaptable, with the ability to react quickly to the needs of the Sales team.



You will be a self-motivated and reliable individual with a strong sense of responsibility and accountability. You will demonstrate a professional, fair and courteous approach in all aspects of your work and communicate confidently and diplomatically with colleagues, clients and suppliers. The role requires someone who can remain calm under pressure, work independently, use initiative and contribute to problem-solving. You will have a proactive, hands-on attitude, a willingness to learn new systems and skills, and take pride in maintaining a professional appearance appropriate to a client-facing environment.
