, we're building a world-class commercial function to support our growth in the UK and internationally. We're looking for a

Sales Administrator

to join our team and take responsibility for the systems, processes, and structure that keep our sales operation running efficiently.

This is a hands-on role that requires organisation, initiative, and a keen eye for detail. You'll work closely with our sales team, manage core tools like our CRM and ERP, and support reporting and lead management. You'll also help maintain the operational rhythm of the team, ensuring information is up to date, actions are followed through, and processes run smoothly.

Key Responsibilities



Order Management

: Manage the complete sales order process - from entry and validation through to fulfilment - ensuring accuracy, speed, and coordination across internal teams.

CRM Management

: Take full ownership of our CRM system. Maintain accurate data across accounts, contacts, and pipelines. Ensure all leads and opportunities are tracked and followed up. Drive system usage across the sales team through regular housekeeping, guidance, and reporting. Proactively monitor data health and support continuous improvement to how the CRM is used as a source of truth for customer engagement.

ERP & B2B Portal

: Maintain and manage product and customer records within our ERP system and customer portal. Ensure both are up to date, reliable, and support a smooth ordering process.

Sales Team Support

: Support the field team with preparation for store visits, travel logistics, admin tasks, and timely follow-up on leads and customer queries.

Chasing Payments

: Liaise with finance and customers to help resolve overdue invoices and maintain positive cashflow.

Lead Management Support

: Assist in the intake and tracking of inbound leads. Cleanse data, support outreach processes, and work with the commercial and marketing teams to ensure structured follow-up.

Reporting & KPIs

: Produce and maintain key reports across CRM activity, orders, pipeline performance, and account status. Help ensure leadership teams have the insights needed to make informed decisions.

Cross-Team Coordination

: Work closely with finance, marketing, and operations to keep workflows aligned and provide seamless support to the sales function.

What We're Looking For



Previous experience in a sales admin, business support, or operations role. Strong familiarity with CRM systems - ideally with direct experience managing and improving them. High level of organisation and attention to detail. A proactive, solutions-oriented approach to work. Confidence using spreadsheets (Excel or Google Sheets) and reporting tools. Clear and consistent communication skills across teams. An interest in improving how systems, data, and processes work together. Experience in vape, FMCG, or export-driven sectors is beneficial but not essential.

Pay: 24,490.00 per year
