About the Role



We are seeking a proactive, motivated Sales and Operations Administrator to join our team. This flexible role involves handling sales enquiries/orders, general administration, operational support and backup for the office as and when required. You will play a crucial part in liaising with customers to ensure exceptional service in order to meet their requirements and work closely with the General Manager to assist in all aspects of production operations.

Salary Level exceeds NLW - to be determined dependant on experience

Key Responsibilities



Sales and Customer Service:



Handle phone and email communications professionally. Act as the company's 'gatekeeper' and ascertain the reason for incoming calls. Accurately take information such as customer details. Assist customers in understanding products and answering queries. Back up for the sales team in creating quotations and convert them into orders to be processed though the company ERP system. Coordinate customer deliveries and installations with the General Manager and assist in any production coordination admin and tracking / queries of deliveries. Support sales team in following up on leads to drive conversions. Complete tender quotation documents or sub-contractor questionnaires when required. Support with stock take and purchasing Sending customers links for reviews and feedback.

Order, Stock Management and Operational Support:



Create Manufacturing Orders and system driven reports to support production operations. Create internal project cards on the ERP system to help manage installations and progress these as required. Maintain strong business customer relationships to oversee key accounts. Handle customer queries and communication related to orders via phone and email. Arrange worldwide delivery by liaising with various couriers and assisting with sending commercial invoices. Monitor stock levels and reorder supplies as needed. Work efficiently to meet strict deadlines and turnaround times. Maintain accurate internal records. Installation Communication involving confirming dates and design plans with customers and sending document packs.

Product Design Assistance - Full Training Provided:



Create scaled drawing plans using Adobe Illustrator for quotations and product development.

What We Are Looking For



Strong communication and interpersonal skills. Ability to build and maintain positive business and customer relationships. Organised and detail-oriented with excellent time management, accurate data entry is essential. Experience in customer service, sales, or administration (preferred but not essential). . Knowledge of Adobe Illustrator (preferred but not essential). Experience using ERP systems (preferred but not essential). Proactive and eager to continuously improve through feedback.
