Role Purpose :



The Logistics and Sales Coordinator role will assist in the delivery of the HTSL Calibration Laboratory and Instrumentation Teams operational goal of delivering timely and high quality instruments, calibration and maintenance services.

The main functions of this role are split as follows;

Logistics: receipt and dispatch of customer instruments with a clear focus on excellent customer service through continuous updates and communications

Sales: provide support to our busy sales team to ensure that our customers receive instruments that they have ordered on time and in full, with a clear focus on excellent customer service

Key Duties & Responsibilities

:

Logistics



Produce accurate records of all work carried out and review records for updating when required Develop excellent rapport with customer to become the main point of contact when operational enquiries are received Learning the technology used and the processes of radiological calibration services Contamination monitoring of radiological protection instruments (RPI) to ensure they are safe to handle whilst at the cal lab. Pick, Pack and Despatch of instruments including the compilation and packaging of instruments and paperwork. Decontamination of instruments. Management and monitoring the availability of Laboratory consumables. Goods receipting stock and consumables ordered by the team. Constant dialogue with customers to update them on order status and job progress. Receiving deliveries and Goods Inwards inspections including examining for defects and checking quantities received vs ordered. Management of facilities and contractor works required for the building as of and when required.

Sales



Issue quotations to customers for the supply of instruments, accessories and related services Process and manage customer sales orders accurately and efficiently. Prepare and submit purchase orders to suppliers to ensure timely procurement of instruments and/or accessories ordered by customers and for stock. Proactively follow up with suppliers to expedite outstanding instruments, parts and services. Manage the returns process for equipment sent to manufacturers for repair, providing regular updates to customers. Maintain professional and timely communication with customers, suppliers, and internal staff at all levels. Keep all stakeholders informed of progress.

Ability to manage a variety of tasks simultaneously Excellent organisational skills and time management skills Ability to work independently with minimal supervision, be able to prioritise own workload and meet deadlines Ability to demonstrate accuracy in all work activities. Strong attention to detail, especially in completing analytical tasks. Exceptional communication and interpersonal abilities. Strong commitment to delivering exceptional customer service. Proficiency in MS Office, particularly in Access, Word, and Excel.

Qualifications & Experience



Educated to a minimum of Level 2 (GCSE Grades A-C, L2 NVQ). Minimum of 3 years' experience of working within an Office or Warehouse Environment Relevant experience working within Instrumentation Supply, Calibration and/or Servicing businesses is desirable.
