We are seeking a capable, adaptable, and detail-oriented Sales Order Processor to support the Pharmacy team and provide wider administrative assistance across departments, whilst maintaining strict confidentiality at all times. The successful candidate will be responsible for processing pharmacy orders while also supporting the Medical Secretaries and other teams with general administrative duties. This is a varied and responsible position, requiring sound judgement, a proactive attitude, and the ability to pick things up quickly.
Key Duties and Responsibilities
Duties include, but are not limited to, the following:
Pharmacy Support
Receiving and processing pharmacy orders via telephone, email, and in person from patients and retail customers
Preparing invoices and prescriptions accurately recording product codes and batch numbers
Completing statutory documentation in line with regulatory requirements, ensuring all documents are approved and signed by relevant medical staff
Applying dosage instruction labels to supplements, as needed
Monitoring stock levels, noting any items out of stock
Recording stock arrivals and updating administrative systems accordingly
Receiving deliveries and storing stock in the appropriate locations, including refrigerated items
Taking payments by credit/debit card and ensuring daily reconciliation with the Accounts team
Visiting patients on the ward to provide pharmacy items
Maintaining pharmacy filing systems and ensuring documentation is up to date and accurate
Signing and dating all relevant paperwork in line with procedural standards
Administrative Support
Assisting the Medical Secretaries and other departments with general administrative duties as required, including typing correspondence, maintaining electronic records, data entry and filing
Typing letters and other documents accurately and efficiently (typing proficiency desirable)
Managing incoming and outgoing post
Supporting day-to-day operations with ad hoc tasks to ensure the smooth running of the business
Job Requirements
Quick to learn, with strong problem-solving abilities and attention to detail
Professional and confident communicator with strong interpersonal skills
Organised and efficient, able to manage multiple tasks and changing priorities
Computer literacy and proficiency in IT systems (including Microsoft Word and Excel); experience with administrative tools and SAGE is desirable
Proficiency in spelling and grammar
Typing skills would be beneficial
Flexible, reliable and proactive, with a willingness to support colleagues across different departments
Previous experience in a medical or healthcare setting and/or understanding of medical terminology would be a significant advantage
