We are seeking an organised, detail-oriented, and resilient Sales & Purchasing Support / Office Administrator to join our fast-paced office. The ideal candidate will be eager to learn, integrate into our company culture and quickly become confident with our SKU system.
In this role, you will manage incoming and outgoing communication with customers and suppliers via our ticketing system, quote customers using a pricing tool and prepare supplier proposals for review. Strong attention to detail and confidence working with Excel are essential.
Because this is an externally facing position, excellent communication skills are vital. You will maintain existing relationships, build new connections with partner organisations and collaborate cross-functionally within the business to support smooth daily operations.
Key Responsibilities
Support the sales team with daily administrative and operational tasks.
Prepare and maintain supplier and sales performance reports.
Create and manage purchase orders and bills in Xero, ensuring accuracy and timely updates.
Maintain organised records of supplier invoices, correspondence, and reports.
Manage stationery and office supply purchasing, ensuring cost efficiency and stock availability.
Assist in updating product and supplier data across internal systems.
Coordinate communication between departments to support workflow and order processing.
Provide general administrative assistance to senior management and the sales team.
Experience and Skills Required
Proven experience in an administrative or sales support role (ideally in a fast-paced office or e-commerce environment).
Strong proficiency in Microsoft Office (Excel, Word); familiarity with Xero and Linnworks is an advantage (training provided).
Excellent organisational skills with strong attention to detail and accuracy.
Effective communicator, confident in following up and coordinating tasks across departments.
Able to handle pressure, feedback, and tight deadlines with professionalism.
Proactive, dependable, and accountable for the accuracy of your work.
Comfortable working both independently and collaboratively in a busy, deadline-driven environment.
