We are now looking for an enthusiastic, organised, and proactive Scheduler who will coordinate and manage bookings for subcontractors and internal field staff, ensuring optimal planning, preparation, and execution of works. This role is pivotal in maintaining effective communication between clients, subcontractors, and internal departments, ensuring all operational activities are carried out efficiently and effectively
Key Responsibilities:
Scheduling & Planning:
Schedule and coordinate subcontractors and internal field staff efficiently, ensuring timely attendance and completion of jobs.
Maintain and update the internal field staff planner daily.
Confirm availability and attendance of subcontractors, proactively addressing any potential scheduling conflicts.
Materials & Equipment Coordination:
Ensure that all scheduled works have the necessary materials, tools, and plant equipment available and prepared ahead of job commencement.
Liaise closely with suppliers and internal departments to confirm availability of materials and plant.
Client Communication:
Regularly communicate with clients to confirm job bookings, attendance dates, and times.
Provide reminders and confirmation calls to clients one day prior to scheduled attendance.
Act as the point of contact for clients regarding scheduling changes or updates.
Subcontractor & Internal Team Liaison:
Distribute clear and detailed work descriptions and client contact details to both internal staff and subcontractors.
Coordinate closely with internal teams for early starts, late finishes, and overnight stays, ensuring all logistics are appropriately managed.
Ensure accurate and timely receipt of job completion details from subcontractors and field staff.
Quoting & Estimating Support:
Assist the estimating division with quoting follow-on works, ensuring clarity and accuracy in descriptions and costs.
Ensure timely and accurate communication of follow-on quotations to relevant parties.
Contractor Management:
Negotiate rates and manage relationships with subcontractors.
Maintain and regularly review a preferred contractor list, ensuring quality and compliance standards are consistently met.
Vehicle Management:
Ensure all company vans are prepared, equipped, and ready for dispatch each morning.
Coordinate vehicle checks and maintenance as required.
Skills and Experience Required:
Strong interpersonal skills with a proven ability to build and maintain professional relationships.
Confident, professional communicator - especially over the phone and in written correspondence.
Strong negotiation skills.
Highly organised and methodical in managing tasks and competing priorities.
Comfortable multitasking in a fast-paced, high-volume environment.
Proficient in Microsoft Office - particularly Outlook, Word, Excel, and PowerPoint.
Experience in facilities maintenance, account management, or customer service is highly desirable.
Exceptional leadership and management skills, with the ability to motivate and develop teams.
Prior experience with job management systems like eWorks is a bonus.
Positive, proactive, and team-oriented mindset.
Ability to problem-solve effectively under pressure.
