Working Hours



9.00am to 3.00pm Monday to Friday - term time only

Job Purpose



1. The School Administrator supports the School Business Manager in their work to ensure that the provision meets its aims.

2. The School Administrator will adhere to the highest standards of business ethos within the administrative function of the provision.

3. The School Administrator provides support to the School Business Manager in the day to day operation of the following functions: Finance, General Administration, Information and ICT, Human Resources, Facilities & Property, Health & Safety, and Examinations.

General Administration



1. Carry-out the administrative function for the provision

2. Distribute post internally to the relevant department, send out post for all departments on a daily basis

3. Stationery Control - making sure that there is enough stationery and order stock as directed by the SBM

4. Answer the telephone and pass on calls / messages as necessary

5. Reception duties such as greeting and looking after visitors and making drinks

6. Typing and setting up documents such as letters and reports as directed by the SBM

7. Data entry - keeping computer records up to date; including pupil attendance register, pupil admission database, pupil

behaviour data

8. Distribute reports as directed by SBM

9. Filing - including pupils, staffing, financial and general admin as directed by SBM

10. Using office equipment such as printers, photocopiers and scanner to support the school and home

11. Prepare paperwork for new pupils and staff as directed by SBM

12. Making staff appointments

13. Arranging meetings and taking minutes

14. Making travel arrangements for staff.

Finance



1. Purchase Ledger - sort and file all receipts / purchase invoices and enter onto Sage Accounting Software.

2. Distribute payslips to staff

3. Prepare weekly pocket money for pupils

4. Distribute petty cash as directed by SBM

5. Assist the overall financial process

6. Reconcile fuel receipts to monthly fuel invoices and check for any discrepancies

Human Resources



1. Arrange recruitment interviews as directed by SBM

2. Organise / book training courses

3. Book staff meetings as directed by SBM

4. Take minutes during staff meetings

5. Organise refreshments during meetings.

6. Ensure all staff files are kept up to date

Facility & Property



1. Ensure that any facility or property issues are reported into the SBM and Caretaker in a timely manner

2. Ensure all files are up to date in relation to Company Vehicles

3. Manage the filing of all maintenance contracts, insurance documents, IT equipment, company vehicles, office equipment, and subscriptions and notify the SBM of any issues, pending renewals etc.

Health & Safety



1. Adhere to the company's Health & Safety Policy at all times and report any risks / concerns to the SBM

2. Ensure that the First Aid Provision is in order at all times, this includes all accident books are in place and all first aid kits throughout the building and cars are fully stocked.

3. Support with maintenance of all records of fire practices and alarm tests, health & safety assessments, accident records and first aid risk assessments

Pay: 16,009.98 per year
