Purpose of the Role
The School Office Assistant is the first point of contact for pupils, parents, staff, and visitors. They will provide a professional, friendly, and efficient reception service while supporting the day-to-day administrative operations of the school.
The role requires excellent attention to detail, organisational skills, flexibility, and the ability to communicate effectively with a wide range of people. In addition, the postholder will help oversee the cleanliness and presentation of the school premises and support basic health and safety monitoring to ensure that the environment is safe, welcoming, and conducive to learning.
With experience and proven capability, there is the potential for the postholder to progress to the role of Administrative Officer.
Key ResponsibilitiesFront of House / Reception
Greet all visitors, parents, and pupils in a warm, professional, and approachable manner.
Manage visitor sign-in procedures, ensuring safeguarding protocols are followed.
Handle incoming calls, emails, and enquiries, directing them appropriately.
Provide information about the school and its procedures to parents and visitors.
Administrative Support
Provide clerical and administrative support to the Headteacher, teaching staff, and school leadership team.
Maintain accurate pupil records
Assist with pupil attendance recording and reporting.
Support the preparation of letters, reports, and communications to parents and stakeholders.
Manage office supplies and place orders with the School Manager when required.
Admissions
Manage all admissions applications, enquiries, offers, and waiting lists.
Ensure compliance with admissions policies and statutory deadlines.
Act as first point of contact for prospective families.
Maintain accurate admissions records and liaise with the local authority.
Support open days and school tours
Provide general office and reception support as needed.
Website and Communications
Update and maintain the school website with news, events, and statutory information.
Support the production of newsletters, social media posts, and other communications.
Ensure all published materials reflect the school's ethos and comply with regulations.
Premises, Cleanliness and Health & Safety Oversight
Monitor the general cleanliness and presentation of the school premises (inside and outside).
Liaise with cleaning, caretaking staff to ensure high standards of hygiene and tidiness are maintained.
Report maintenance, health and safety, or cleanliness issues promptly to the School Manager.
Assist with the coordination of cleaning schedules and ensure supplies are adequately stocked.
Carry out simple daily health and safety checks (e.g. ensuring fire exits are clear, hazards are reported, accident books are maintained).
Support the School Business Manager with record-keeping for compliance checks (e.g. fire drills, visitor logs).
Weekly fire alarm checks
General Duties
Handle sensitive and confidential information with discretion.
Support the organisation of school events, meetings, and trips.
Provide first aid and support the coordination of medical needs within the school.
Ensure the office environment is welcoming, safe, and well-organised.
Carry out any other reasonable duties as directed by the School Manager

Pay: 12.21 per hour
