We\xe2\x80\x99re seeking a future team member for the role of Senior Administration Assistant to join our EMEA Regulatory, Supervisory and Corporate Affairs Legal team. This role is located in London, UK \xe2\x80\x93 hybrid (min of 3 days in office).

In this role, you\xe2\x80\x99ll provide professional secretarial/administrative support to the Associate General Counsel who leads the Regulatory, Supervisory and Corporate Affairs team and other members of that team.

You will assist in legal secretarial and administration assistant tasks, including but not limited to:

  • Proactively managing the diaries of the team members.
  • Creating a wide range of documents including contracts, presentations, agreements, reports, proposals, meeting agendas and other documents, using Word, PowerPoint and Excel.
  • Proof reading and where appropriate commenting on legal letters and documents.
  • Dealing with routine legal and non-legal correspondence (telephone, written, email) and referring to other staff as appropriate.
  • Supporting the management of the EMEA Legal Outside Counsel Billing processes, including managing outside counsel payment arrangements in accordance with Legal Department approved practice, supporting budgeting and cost monitoring.
  • Organising travel arrangements, including production of detailed itineraries.
  • Ensuring that clients (internal and external) are dealt with efficiently and politely.
  • Liaising with other administration assistants in the UK and global teams
To be successful in this role, we\xe2\x80\x99re seeking the following:
  • Previous experience in performing senior assistant role, ideally gained as a legal secretary, with proven competence in the following:
  • Diary management using Outlook (including ability to proactively manage diary conflicts).
  • Advanced knowledge of MS Office packages, especially Word, Power Point and Excel.
  • Organising travel arrangements, including production of detailed itineraries.
  • Preparing and processing expenses.
  • Dealing with IT and Facilities as required (procuring equipment, investigating IT issues, new starter setups etc).
  • Organising and storing electronic and paper records associated with the role.
  • The candidate should be organised, efficient and capable of working with minimum supervision, able to work to tight deadlines and to proactively prioritise tasks, and a collaborative team player.
  • The candidate should be comfortable supporting team members based in different locations.
  • Experience in the financial services sector is desirable but not essential.
