Job Summary


We are seeking an experienced and dedicated Senior Practice Administrator to oversee the operations of our healthcare practice. The ideal candidate will possess a strong background in patient care and administration, with a focus on enhancing the quality of service provided to our patients. This role requires exceptional leadership skills, a thorough understanding of clinical practices, and a commitment to improving patient outcomes.

Administrative Support:



Manage schedules and appointments for GPs and healthcare professionals.

Coordinate and prepare for meetings, including agenda preparation and minute-taking.

Handle correspondence, including emails, phone calls, and letters.

Patient Coordination:



Oversee patient appointment scheduling and manage the booking system.

Ensure patient records are accurately maintained and updated.

Communicate with patients regarding appointments, follow-ups, and any necessary information.

Office Management:



Maintain office supplies and manage inventory.

Ensure the office environment is organized, clean, and efficient.

Coordinate with external vendors and service providers.

Data Management:



Ensure accurate data entry and management of patient records.

Assist in the preparation of reports, presentations, and other documentation.

Maintain confidentiality and ensure compliance with data protection regulations

.

Compliance and Policy Adherence:



Ensure the practice complies with healthcare regulations and internal policies.

Stay updated on changes in healthcare regulations and implement necessary adjustments.

Conduct regular audits to ensure compliance.

Team Leadership:



Supervise and mentor junior administrative staff.

Provide training and support to new administrative employees.

Delegate tasks and ensure the team meets its objectives.

Conduct regular appraisals and performance reviews for administrative staff.

Foster a positive and collaborative team environment.

Manage and support the onboarding process for all new administrative and healthcare staff.

Conduct orientation sessions and provide necessary training.

Ensure new staff are familiar with practice policies, procedures, and their roles.

Communication:



Act as a liaison between healthcare professionals, patients, and external stakeholders.

Facilitate effective communication within the practice.

Address and resolve any administrative issues or concerns.

Financial Administration:



Assist with billing and invoicing processes.

Manage petty cash and expense reports.

Coordinate with the finance department for budget management.

Project Management:



Lead or assist in special projects and initiatives within the practice.

Ensure projects are completed on time and within budget.

Report on project progress and outcomes.

Customer Service:



Provide excellent customer service to patients and visitors.

Handle patient inquiries and complaints professionally.

Ensure a positive experience for all patients interacting with the practice.

CQC (Care Quality Commission) Related Activities:



Ensure the practice meets CQC standards and regulations.

Prepare for CQC inspections and audits.

Implement and monitor action plans based on CQC feedback.

QOF (Quality and Outcomes Framework) Responsibilities:



Monitor and manage QOF targets and indicators.

Ensure accurate data collection and reporting for QOF.

Work with healthcare professionals to improve practice performance against QOF measures.

Patient Complaints:



Act as the first point of contact for patient complaints.

Address and resolve complaints in a timely and professional manner.

Document and report complaints to ensure continuous improvement in patient care.
