We are currently looking to recruit a
Senior Estates Assistant
to support the Estates Manager and Head of Estates and Gardens in overseeing the day-to-day operation, routine maintenance, and responsive repair of all building services. This includes implementing and maintaining an effective Planned Preventative Maintenance (PPM) schedule. The Deputy Manager will also be responsible for undertaking small works, projects, and associated remedial tasks as required.
In addition to technical responsibilities, the Senior Estates Assistant will assist with managerial and administrative duties and will assume full management responsibility in the absence of the Estates Manager.
This role may require flexibility and the undertaking of duties not listed. Tasks and responsibilities will evolve to meet the operational needs of Flint House and may be subject to periodic review in line with service requirements.
Working hours: 40 hours per week, Monday to Friday.
Key accountabilities:
General Maintenance & Repairs
With agreement and input from manager, ensure routine maintenance tasks are completed according to the planned preventative maintenance schedule, including systems such as heating, hot and cold water, ventilation, water softeners, drainage and external decoration.
Respond to maintenance requests from staff and patients via Pathway promptly and efficiently.
Carry out daily maintenance tasks including:
Replacing light bulbs across the centre.
Repairing or replacing taps, shower units, risers, toilets and other plumbing fixtures.
Repairing leaks and minor pipework issues.
Investigating and resolving basic electrical faults, including loss of power and non-functional sockets/switches.
Repairing or replacing locking mechanisms.
Repairing and maintaining the building decoration.
Operate and maintain PMS and BMS plant systems.
Pool Operations (following successful completion of relevant training)
Test and monitor swimming pool and hydro pool water quality, ensuring pH and chemical levels remain within safety standards.
Ensure pool filtration systems are functioning correctly; clean filters as required or coordinate with contractors for specialist repairs.
Minor Works & Projects
Undertake minor building and installation work, including plumbing and basic electrical tasks.
Lead on the execution of repairs and installations identified in Health & Safety or Fire Risk Assessments, maintaining full site compliance, with assistance at times where required from other team members.
Supervise and monitor sub-contracted labour as required.
Compliance and Health & Safety Checks
To support and drive compliance and safety checks, with responsibility for the team logging all findings in the appropriate documentation:
Legionella testing.
Emergency lighting tests
Change and clean air handling unit filters.
Record utility meter readings monthly (electricity and gas) and water meter readings bi-monthly. Ensure data is logged and submitted to the Accounts team.
Monthly wheelchair inspections; clean and repair as needed,
Lead on the cleaning and clearance of gutters and drainage systems; inspect weekly and arrange contractor support when necessary.
Fire alarm tests weekly.
Support external contractors to do further testing, servicing and maintenance as appropriate.
Administrative and Managerial Support
Provide assistance to the Estates Manager in the following areas:
General office tasks, including invoicing, obtaining quotations, and monitoring budgets.
Management of health and safety documentation, ensuring accurate uploading to the appropriate portals.
Daily planning and coordination of the team to ensure effective delivery of maintenance projects, from initiation through to completion.
Ensuring all statutory documentation is maintained and up to date.
Reviewing and updating all policies, procedures, risk assessments, and COSHH documentation to ensure compliance and relevance.
Deputise for the Estates Manager in their absence, reporting directly to the Head of Estates and Gardens, and assuming full managerial responsibility for the role.
Skills:
Demonstrated working knowledge of manual handling, working at height, PAT testing, electrical installations, risk assessments, Health & Safety requirements.
Sound understanding of commercial water, ventilation, drainage and pool filtration systems together with lighting, power, fire alarm, communication and electrical installations.
Knowledge of a specialist subject such as carpentry, masonry repairs, painting and decorating, electrical repairs or plumbing.
Previous demonstrated team leader experience.
Willing to be DBS checked.
Education
Minimum Level 2 qualification in a building related subject such as electrician, painting and decorating, brick laying or carpentry
Ideally a management qualification or experience managing a team and / or a Nebosh or IOSHH qualification
Minimum Work Experience
At least 2 years' experience of working in a comprehensive 24x7 maintenance service within commercial premises using your building maintenance skills. Working/ team leading a team to deliver the best service possible.
