Job Overview
The
Service Coordinator
plays a vital role in supporting the day-to-day operations of the HVAC service department. This position is heavily focused on managing and completing quotations generated from engineers' site visits, ensuring all customer requirements are captured accurately and turned into timely, professional proposals. The successful candidate will be detail-oriented, proactive, and capable of balancing administrative coordination with customer communication to support the smooth running of the service operation.
Key Responsibilities:
Review engineers' site visit reports, service sheets, and recommendations to identify quotation requirements.
Create detailed, accurate quotations for repairs, maintenance, and replacement works using company pricing structures and supplier cost data.
Liaise with suppliers to obtain costs, lead times, and technical data for inclusion in quotations.
Track quotation status -- from creation to customer approval -- ensuring timely follow-ups.
Collaborate with engineers and managers to clarify technical details and ensure quotes are accurate and competitive.
Maintain a clear quotation log, including win/loss tracking and reasons, to support business improvement.
Requirements
Previous office experience is essential, with a background in administrative roles preferred.
Proficiency in computer skills, including typing speed and accuracy.
Familiarity with Microsoft Office Suite (Word, Excel, PowerPoint) and Joblogic
Strong organisational skills with the ability to prioritise tasks effectively.
Excellent phone etiquette and interpersonal communication skills.
