We are seeking an organized, proactive, and customer-focused Service Department Administrator to support our busy service team and ensure smooth daily operations.

Key Responsibilities:



Coordinate and schedule service appointments, maintenance visits, and emergency callouts

Act as a primary point of contact for customers--answering enquiries, providing updates, and ensuring a positive experience

Manage incoming emails and calls for the service department

Prepare job sheets, service reports, and relevant documentation

Assist with technician dispatch and monitor job progress throughout the day

Maintain and update customer records, service histories, and asset registers

Process purchase orders and warranty claims

Support the service manager with administrative tasks and workflow planning

Ensure compliance with company procedures and health & safety standards

Requirements:



Previous experience in an administrative or service coordination role (HVAC or trades industry preferred)

Strong organisational skills with the ability to prioritise tasks in a fast-paced environment

Excellent communication and customer service skills

Proficiency in MS Office and ideally experience with service management software

Ability to work well independently and as part of a team

High attention to detail and strong problem-solving abilities
