Administrator / Logistics Support - Imaging Services

Remote Working (with occasional travel to Head Office/ other CDC sites nationwide)
Job Purpose
To provide administrative and logistical support to the Engineering Team. The role involves handling calls regarding the equipment from sites, coordinating service bookings, maintaining accurate records and diaries, and ensuring smooth day-to-day operations for the imaging equipment across various sites. As the department is newly established, the postholder will play a key part in setting up and streamlining systems and processes.
Key Responsibilities/Administrative Support
Act as the first point of contact for calls, enquiries, and service requests relating to imaging equipment (CT/MRI/Mammo scanners).
Log incoming jobs and service requests accurately into the job management system or spreadsheet.
Maintain and update the equipment inventory and associated documentation (service records, calibration certificates, warranties, etc.).
Assist in setting up and maintaining administrative systems for a new department.
Logistics Coordination
Book in services, maintenance, and inspections with OEMs (e.g. Philips, Siemens) and other service providers.
Coordinate and schedule site visits for engineers and technicians, ensuring diary accuracy and avoiding scheduling conflicts.
Arrange operational requirements such as water top-ups for scanners, fuel checks, and routine maintenance.
Support the engineering team with organising deliveries, collections, and site access arrangements as required.
Track job progress and ensure timely completion and documentation.
Team and Field Support
Provide administrative backup for field engineers and technicians.
In time, undertake occasional site visits nationwide to assist with operational tasks, training, or audits if required.
Liaise with suppliers, OEM representatives, and internal departments to ensure smooth communication.
Record-Keeping and Reporting
Maintain accurate and up-to-date records of all imaging equipment, services, and maintenance activities.
Update shared spreadsheets and databases regularly.
Compile and issue reports for management review as needed.
Skills and Attributes
Highly organised with strong attention to detail.
Ability to prioritise and manage multiple tasks effectively in a fast-moving environment.
Confident communicator with excellent telephone and email manner.
Strong IT skills, particularly Excel, spreadsheets, and scheduling systems.
Proactive and able to work independently within a small, evolving team.
Willingness to travel and undertake occasional site visits across the UK.
Car ownership.
Experience and Qualifications
Previous experience in an administrative, logistics, or service coordination role preferred.
Experience liaising with engineering or technical service teams advantageous.
Knowledge of imaging equipment or healthcare logistics beneficial but not essential.
Full UK driving licence required (for future site visit support).
