Role Overview





We are looking for one Service of Process Officer, to join our closely knit team and to take responsibility for all aspects of Service of Process administration for a wide range of clients. Full training will be given in the detail of the work provided applicants have strong administrative skills, a commitment to customer service, rolled up sleeves attitude and the ability to take initiative and to learn new processes.

Job Role & Responsibilities




Taking regular telephone and email queries from clients and law firms concerning queries on current appointments, new appointment enquiries and general queries on all aspects of SOP work. Calculating the fees to be charged for appointments and providing fee quotes to lawyers and appointor's. Following up on enquiries, to request if our services are still required and timeline on transaction or any questions they may have. Providing cover for and assistance to colleagues due of absence and heavy workloads. As we are a small team, all staff may be asked to help with a range of tasks as the need arises. Liaise with the New York office, Hong Kong office and Ireland Office for appointments to accept/accepted. Management and operation of the in-house database system, including entering company/personal/appointment information and checking/recording of legal documents. Financial Sanctions and VAT checks. Assisting with termination letters which involves checking a daily report from the database and merging information into either a letter or e mail to remind clients their contract is about to expire. Opening and dealing with post and courier packages.



Essential Knowledge, Skills & Experience





This is an excellent opportunity to further develop your administrative skills in a highly regarded organisation working as part of a friendly and busy team. We are looking for a flexible, energetic, experienced and committed administrator who have gained a wealth of experience





Key Requirements:


Solid experience in process administration, particularly in dealing with high volumes of work. Experience in a legal organisation is particularly helpful to give an understanding of working with legal documentation. Strong organisational skills, a highly systematic and logical approach and the ability to multi task. A friendly and helpful manner and the ability to work within a small and closely knit team. Commitment to a high level of customer service. The ability to work on their own initiative without detailed supervision, once trained in our processes. A high level of attention to detail and a conscientious approach - clients pay us for our accuracy and care in getting things right. Good communication skills and a confident telephone manner. The ability to deal with people at all levels on the telephone and by e mail. Contacts include Chairmen and Financial Directors of companies and solicitors, often based overseas. Basic numeracy skills.
