The main purpose of this role is to provide and manage high level administrative support and operational assistance to the Services Team.
Clan Wellbeing Services are led by the Head of Cancer Support Services, and a number of functions need the overseeing of administrative support. The growth of services and changing client needs has highlighted a need for development within our wellbeing team and also in how we record data for reporting. This key role will take a lead on statistical reporting and all client database administration; coordination of Clan inhouse training; form part of a wider administration team supporting front of house cover; being a point of contact for all zero hour workers ensuring timesheets are processed on time and delivering direct support to clients where required.
Based part-time in Clan House, the role will also have contact with personnel delivering services across Aberdeenshire, Moray and the Northern Isles.
The Services Support Coordinator will be required to provide high level service covering all aspects of administrative support at a senior level with the ability to undertake support in project assignments for the Head of Cancer Support Services and Cancer Support Services Managers.
The ability to balance a large and complex workload, meet diverse needs, meet deadlines, be pro-active and be able to work on own initiative is essential.
Key responsibilities include:
Lead on the gathering of statistics relating to Clan services, focussed on reporting data on client trends from our CRM database, Charitylog and Microsoft Forms, at least quarterly ahead of Board meetings.
Prepare reports for the Head of Cancer Support Services on activity as and when requested.
Be the main contact / administrator and super-user for Charitylog, for all Clan services staff and acting as the liaison with the CRM provider.
Check off monthly invoices from zero-hour workers and contractors against client activity and produce for authorisation and processing with finance team. Be available to discuss any queries raised or clarification that may be required regarding timesheets / invoices.
Ensure any new zero hours workers & contractors are welcomed and given appropriate inductions to their workspace such as H&S / data protection information and Clan processes, prior to commencing client bases. The inductions will be in liaison with the Cancer Support Services Area Manager.
Liaising with zero hours workers for availability 3 months in advance and ensuring availability for client appointments are reflected on Charitylog clubs & clinics and communicated with the front of house staff and wider services team
Keep accurate records of all attendees on Clan's internal training, ensuring refresher training is flagged (includes Listening & Support Training course, safeguarding etc).
