Department Summary



Student Engagement exists to facilitate the social development of students though the provision of services, programmes and opportunities for all our members. Within the Student Engagement Directorate is Student Communities, Academic Advice, Advocacy and Student Voice, Peer Support and Training and Development.

The Student Communities Team exists to facilitate exceptional student experiences by providing services, programmes, and opportunities for all our members. The Student Groups include; Societies, Action (volunteering), Rag (fundraising), Media, Welfare Associations, Athletics Union.

The Societies and Clubs Coordinator role is to support the development of Societies, promote student engagement with a focus on recruitment to student groups, promoting student led events, ensuring the appropriate training is delivered to student volunteers, and supporting the development of students to help maximise their potential. The Societies and Clubs Coordinator will also support social activities with the Athletics Union.

Job Purpose



Coordinate the delivery of student led activity, in particular within Societies and social activities with Sport (Athletics Union) Coordinate the recruitment of volunteers within Societies Coordinate the delivery of training to volunteers within clubs and societies, Proactively support and empower student leaders and volunteers in their activities Support the Training Academy in the delivery of training to student leaders and volunteers Work collaboratively within the Student Engagement Directorate to ensure we are enhancing the educational experience of our student members Support the effective delivery of activity for all student groups within the Student Engagement Directorate as required

Job Duties



Coordinate the delivery of student led activity, in particular within Societies and social strands of the Athletics Union.



Coordinate event planning, bringing in appropriate administrative support to aid in delivery and ensuring sufficient volunteer support To coordinate the booking and safe management of student led events, and trips Oversee the financial sustainability and safe management of trips and events Liaise with the Marketing team to ensure effective promotion of student activity Oversee compliance including asset registers, insurances, risk assessments and safeguarding Ensure engagement and impact is documented, monitored and reported

Co-ordinate the recruitment and training of volunteers across student-led communities



Coordinate an effective and equitable appointment and/or election process for student volunteers To work with the Head of Learning and Development to contribute to the design/delivery of training for volunteers To ensure all volunteers have received the necessary training to undertake their roles

Proactively support and empower student leaders and volunteers in their activities



Liaise with internal and external stakeholders (including but not limited to alumni, university staff, community partners, and other charities), to support students in their activities, ensuring compliance with all partnership guidelines Ensure engagement and impact is documented, monitored and reported Coordinate the relevant budgets including any income, expenditure, and grant allocations Support volunteers with financial planning and the correct processing and approval of claims. Coordinate meetings to review and approve student group grant applications

Support the Training Academy in the delivery of training to student leaders and volunteers



Contribute to the design and delivery of training for volunteers Ensure all volunteers receive the necessary training and guidance to undertake their roles and run their student groups and project effectively

Work collaboratively as part of the Student Engagement department to ensure that we are enhancing the educational experience of our student members

Provide professional advice and support as required Assisting with trouble shooting and signposting Supporting the co-ordination of collaborative projects and events

General Job Duties



Attend and actively contribute to team meetings to enable peer support, collaboration and reflection on progress; Receive support and direction through regular catch ups, debriefs and performance review meetings; Play a proactive and supportive role as part of the Student Engagement team, supporting the work of your colleagues and showing flexibility to accept alternative relevant tasks; Promote, develop and adhere to a culture of "privacy by design" when requesting, receiving, processing, storing and/or using personal data to maintain institutional compliance with the Data Protection Act 2018 (GDPR); Develop and deploy exceptional customer service, taking ownership of enquiries and reach conclusions and solutions effectively; Undertake general administrative duties as required; Ensure compliance with relevant Union policies and procedures; Undertake any training and development deemed appropriate for the position; Respond to enquiries received in person, by telephone or email and take appropriate action; Identify opportunities for service improvements and review, develop and update processes to ensure they are fit for purpose; Provide cover on a rotational basis for other colleagues by undertaking such duties and responsibilities which are commensurate with the grade and nature of the post; Uphold LSU's values and EDI Charter, displaying appropriate behaviours; Act as a role model in portraying a positive image of LSU both internally and externally, acting as an ambassador and displaying high standards of personal integrity and professionalism; Deliver on strategic projects, taking on additional tasks at the direction of the Head of Student Communities and/or the Director of Student Engagement.

Conditions of service



Salary - Pay scale 7 (28,511 - 31,105)

Hours - This role is contracted for 35 hours per week, typically Monday - Friday. Flexibility is essential, with shifts scheduled to meet business needs - including early morning and late evenings.

During busy periods, we work to tight deadlines, requiring a flexible and

accommodating approach. This may include working outside traditional hours, including weekends.

In addition, the LSU is supportive, wherever possible, of flexible working arrangements.
