Job Description

The role of a Staffing Coordinator - Compliance is to manage the process of onboarding new workers from start to finish and monitoring compliance with existing workers. Reporting to the Staffing Supervisor, the individual will be tasked with completing Right to Work checks on workers onboarding or booking in to a project ensuring compliance and complete documentation.

The coordinator will understand the Right to Work legislations and government guidance ensuring complete adherence to UK employment law.

Manage multiple workers onboarding from a variety of locations, ensuring that checks have been completed and documented via our internal systems.

Core Duties



Maintain the internal staff database by vetting new applications and assisting staff with website queries. Ensure safeguarding of information in compliance with GDPR.

Respond to telephone, email and social media enquiries from staff.

Utilise internal systems to establish workers requiring checks.

Communicating with workers regarding the RTW check process, supporting them through the process if needed.

Booking in video calls to complete the IDVT process with existing and prospective workers.

Vetting workers requiring any additional checks based on their application such as Criminal Disclosures etc.

Auditing events to ensure all workers booked on are compliant in accordance with UK government legislation.

Informing Project Managers of any onsite issues where non-compliance has occurred and support an effective resolution.

Liaise with the Staffing Team to clarify worker checks required and completed worker checks.

Communicate with workers the necessary documents required to complete RTW checks.

Raise any breaches in RTW to the Staffing Supervisor and Head of Staffing.

Audit and remedy any historic non-compliant RTW prior to any further completion of work by associated workers.

Produce a daily, weekly and monthly report on RTW check completion rates including outcomes and any areas of concern.

Work closely with the Staffing Supervisor and Head of Staffing to look at innovative ways to achieve and maintain 100% compliance on RTW checks.

Suggest improvements and developments to the existing onboarding process.

Keep up to date with the latest government legislation changes to RTW ensuring the process is still relevant and viable, suggesting necessary changes if required.

Work with the Staffing Team to fulfil staffing and administrative needs for events.

You will be required at times or on an ongoing basis to contribute to other projects within Tracsis Events or Group.

Desirable Knowledge and Experience



A working knowledge of Microsoft programmes and RightCheck. Some experience or knowledge of UK employment law would be advantageous.

Training and Qualifications



Essential



Excellent communication skills.

Desirable / Working Towards



Interest in the events industry.

Administrative experience, preferably office based.

Recruitment and onboarding experience.

UK employment law - specifically Right To Work checks.

Working Relationships



This role will have working relationships with: Head of Staffing, Staffing Supervisor and Staffing Team.

Interdepartmental working relationships will include: Project Managers, Supervisors, Heads of Department.

External working relationships include: Temporary staff, external support, and clients.
