Job Purpose

To manage and coordinate all inventory and stores operations within Heathrow Airport, ensuring the timely and accurate receipt, storage, distribution, and documentation of goods and materials. The Stores Administrator plays a key role in supporting airport operations by maintaining stock levels, complying with safety and security protocols, and working closely with operational teams to ensure supplies are available to keep airport services running smoothly and efficiently.

Key Accountabilities & Main Duties

Maintain accurate records of stock movement, including receiving, issuing, and returns. Use Excel spreadsheets to update, track, and analyze inventory levels and trends. Perform regular stock reconciliations and investigate discrepancies. Coordinate with procurement, logistics, and production teams to ensure timely stock availability. Generate reports on inventory levels, usage, and stock forecasts. Entering and updating data in the Maximo system (training will be provided) Monitor and maintain stock accuracy in inventory systems. Assist in physical stock counts and cycle counts. Ensure all documentation is filed and stored appropriately. Improve and develop new Excel templates and formulas for reporting and analysis. Support audits by preparing required documentation and inventory records. Uphold health, safety, and organizational policies within the stores area. Assist with stock systems of PPE Use customer portals for data input and print labels Receive and file deliveries and paperwork Supporting your Manager with Goods In as and when required Carry out additional duties as need within your skill set
Key Skills/Experience

Proven experience in a Stores, Warehouse, or Inventory Administration role. Advanced Excel skills (pivot tables, VLOOKUP/XLOOKUP, formulas, charts, conditional formatting). Experience with inventory management systems (e.g. Maximo) is desirable. Strong attention to detail and accuracy. Excellent organizational and time management skills. Effective communicator with the ability to work across teams. Good written and verbal communication skills. Ability to work independently and as part of a team. High level of integrity and accountability. Ability to learn quickly to gain knowledge of the stores operating system. Must hold a full clean UK driving licence. Strong knowledge of health and safety.
Measure of Success (KPI's)

Inventory accuracy. Timeliness of stock processing (no delays in stock availability for operational teams). Stock reconciliation and discrepancy resolution. Excel efficiency. Audit compliance (no major non-conformities required post-audit).
