Studio Coordinator & Executive Assistant (luxury Wig Studio)

London, ENG, GB, United Kingdom

Job Description

Role Overview

Chrissy Bales is a luxury wig studio renowned for exceptional craftsmanship, discretion, and transformational client experiences. We are seeking a Studio Coordinator & Executive Assistant to act as the operational and front-of-house lead for the studio, while serving as a trusted right-hand to the founder, Chrissy.

This role is the operational backbone of the business. You will own the studio environment, manage the end-to-end client experience, and safeguard Chrissy's time, focus, and energy. As the first point of contact for clients and partners and the final filter before anything reaches the founder this is a high-trust position requiring sound judgement, professionalism, and absolute discretion.

Key Responsibilities

Front of House & Studio Experience

Serve as the primary front-of-house presence for the studio. Manage client arrivals, departures, and waiting experiences with warmth, discretion, and professionalism. Ensure the studio is consistently presented to luxury standards. Prepare the studio for daily bookings, private fittings, and VIP appointments. Coordinate refreshments, ambience, and overall client comfort. Handle same-day schedule changes calmly and efficiently.
Client Coordination & Communications

Manage client confirmations, reminders, and follow-ups. Act as a professional liaison between clients and the studio team. Handle sensitive client communications with tact and confidentiality. Accurately capture and maintain client preferences, notes, and expectations.
Executive Assistant to Chrissy

Manage Chrissy's calendar, scheduling, and time blocking. Act as gatekeeper for meetings, requests, and communications. Prepare daily and weekly schedules to optimise focus and productivity. Coordinate travel, personal appointments, and logistics as required. Draft, filter, and prioritise emails, messages, and requests. Anticipate needs and proactively resolve issues before escalation.
Operations & Studio Administration

Ensure smooth day-to-day studio operations. Coordinate with marketing, content, and operations teams to ensure studio readiness. Support product launches, shoots, and special events from an operational perspective. Maintain systems, trackers, and documentation for studio processes. Identify and flag risks, bottlenecks, or client experience issues early.
Discretion, Standards & Founder Support

Operate with absolute discretion at all times. Protect brand reputation and founder bandwidth. Uphold tone, boundaries, and standards on the founder's behalf. Act as a calm, credible authority within the studio environment.
