Job Description

The Oratory Prep School (OPS) is an independent day and boarding school providing an enriched education to boys and girls aged 2 to 13. The OPS aims to provide the best possible education for its pupils. Staff are expected to maintain a very high standard of teaching and are provided with every support from the Headmaster and the Senior Leadership Team.

The pool and lettings manager will be responsible for the running and safety of the pool and will be responsible for all lettings within the school, including the School Day Holiday club, but excluding School-managed international Holiday camps.

The Job is split into two parts:



Pool Manager Lettings Manager

Pool Lettings



Manage relationships with evening/weekend hirers and other schools Handle all communication, bookings, billing, scheduling changes in liaison with the school's financial controller Process paperwork and coordinate lettings schedules with lifeguard availability Manage School Hire pool enquiries

Plant Room Oversight



Ordering and safe storage of chemicals. Monitoring plant room functions and resolving technical issues. ensuring boilers and chemical dosing units are running. Organising routine servicing of all equipment/boilers/pumps/heating systems Liaising with outside pool company over system failures/technical issues Pool Maintenance Pool Testing

Administrative Compliance



Writing and updating the Emergency Action Plan and Normal Operating Procedures. Ensuring all documentation is current, reviewed annually, and shared with relevant parties as legally required. These documents are vital for health and safety compliance and must reflect active management of the facility.

Lifeguard Management



Recruit, train, and manage rotas for lifeguards. Organise (and ideally trained to lead) monthly mandatory training and holiday coverage. Be on call rotation with other duty members of staff, including at weekends on rota with the two swimming teachers

Qualifications and experience:



Pool Plant Room Operator PPO Level 3 (Essential) NPLQ (desired) Experience of working in a pool setting with maintenance experience Experience of working in a school context Experience of teaching swimming in a school context (desired)

Lettings:



Purpose of the Role



In addition to being the Pool Manager, the role includes the role of Lettings Manager, which plays a key role in overseeing all lettings of The Oratory Prep School's facilities, both internal and external. The postholder will ensure that lettings are efficiently managed, provide an excellent service to all users, and generate additional income through the promotion and effective use of the school's extensive grounds and facilities. This is a public-facing role that requires professionalism, initiative, and excellent communication skills.

This part of the role in Line Managed by the Business Manager.

Key ResponsibilitiesMarketing and Client Engagement



Promote the school's facilities to the wider community, developing strong relationships with prospective and existing clients. Actively identify and pursue opportunities to maximise lettings income. Negotiate and agree appropriate rates and terms, in line with the school's policy.

Bookings and Administration



Manage all bookings using the school's lettings software (currently 'School Hire'), ensuring the system is up to date and accurate. Ensure all hirers have completed the necessary documentation, including Lettings Agreements and relevant insurance, prior to bookings commencing. Maintain accurate records of all lettings and associated financial data. Monitor payments, issue timely reminders, and liaise with the Finance Team regarding outstanding accounts. Provide regular lettings reports as required by the Financial Controller

Team and Facilities Coordination



Responsibility for scheduling, supervision, and approving timesheets. Ensure appropriate staffing is in place to open, close, and oversee facilities during lettings. Liaise with the Premises and Housekeeping Teams to ensure areas are prepared, clean, and presentable before and after use. Communicate booking requirements clearly, including furniture movement, room setup, or specific access needs. Coordinate with internal departments to avoid clashes, particularly during exams, major school events, or maintenance periods.

Customer Service and Communication



Act as the primary point of contact for all lettings-related enquiries. Deliver a high standard of customer service to all users, ensuring positive experiences and resolving issues swiftly and professionally. Represent The OPS in a courteous and professional manner at all times.

General Responsibilities



Work collaboratively as part of the wider school operations team. Attend relevant meetings and training as required. Uphold and promote the values and ethos of The Oratory Prep School. Follow the school's policies and procedures, including those relating to Safeguarding, Health and Safety, and GDPR. Undertake any other duties reasonably requested by the Financial controller

Person Specification



Essential:



Excellent interpersonal and organisational skills Experience in customer service or lettings management Proficient in IT systems, including database and booking software Ability to work independently and as part of a team Flexibility, reliability, and a proactive approach Willingness to work occasional evenings and weekends as required.

Working hours:



40 hours per week plus half hour unpaid lunch break This role is year round with the following pattern being ideal for the smooth operational management of the pool and of external lettings: Term Time: Any five out of seven days, ideally including Saturdays and Sundays School Holiday time: Monday to Friday Some 'on call' duties, as per operational requirements
