We are seeking a highly organised and efficient Team Administrator to support our dynamic team. The ideal candidate will possess strong administrative skills and be adept at managing various office tasks to ensure smooth operations. This role requires a proactive individual who can handle data entry, maintain records, and provide excellent phone etiquette while contributing to a positive team environment.
Responsibilities
General Office management duties:
General day-to-day running of the office
Main point of contact and answering of telephone calls
Maintenance of up-to-date database of approved contractors and consultants
Annual company insurance renewals
Ad hoc diary management
Oversee IT equipment maintenance
Staff event planning
Kitchen and office supplies maintenance
Manage external cleaning and utility providers Oversee office cleaning
HR Administration:
Maintenance of staff holiday and sickness records
New starter on-boarding
Staff expenses admin
Admin support for the busy Building Surveying team:
Assist building surveyors to organise meetings.
Tender process administration and contractor liaison, review of contractor submissions and chase-ups.
Daily works tracker updates
Document editing (the company uses speech to text):
o Specifications of works for external and internal decorations
o site minutes on a weekly basis
o reports and schedule of conditions
Final editing and formatting of specifications.
Preparation and issue of tender documentation.
Following up on tenders to ensure all deadlines are met.
Preparation of tender analysis spreadsheet based on specification spreadsheet.
Inputting of tender figures.
Experience
Educated to at least 'A' Level standard, with English and Maths GCSE
At least 2 years team administration experience with a 'can do' attitude
Excellent IT skills, including Microsoft Office. (Good to intermediate Excel skills required.)
Ability to keep up in a fast - paced dynamic environment and to meet deadlines
Ability to review works strategies and suggest more efficient ways of working
Well organised and excellent attention to detail
Preferable, (but not essential) administration experience in the building, construction and or/ property management industry
Friendly with good sense of humour
Self-motivated and able to work on own initiative without close supervision
Flexible and able to multi-task
