Are you highly organised, proactive and thrive in a fast-paced environment?





We're looking for a talented administrator to provide vital support to our Project Management team based at our offices in London, helping deliver exceptional service across exciting built environment projects.



This is a varied role where no two days are the same - from co-ordinating diaries and producing documents to managing travel and supporting client projects.

What you'll be doing:



General Administration



Maintaining up-to-date paperwork and client files whilst setting up new instructions. Drafting correspondence, reports, schedules, minutes and agendas. Answering calls, taking messages and organising post/couriers. Audio/copy typing, minute-taking, proofreading, printing and binding documents. Arranging meetings (including Teams calls), presentations and providing refreshments for on-site meetings. Performing ad-hoc tasks such as scanning.

Diary Co-ordination



Managing electronic diaries, scheduling meetings and liaising with senior staff, clients and contacts.

Document Production



Preparing PowerPoint presentations, Excel schedules and compiling PDFs. Typing minutes and general correspondence whilst acknowledging and responding to mail and emails.

Travel



Arranging travel and preparing event/meeting schedules.

Finance



Assisting with invoice management and raising purchase orders as required.

Research & Project Support



Liaising with internal teams for data and drawings whilst conducting research to support client projects.

Database Maintenance



Updating contact details, purchase order/budget databases and other team databases.

Ad-hoc Duties



Proofreading and formatting reports whilst carrying out other reasonable tasks as required.

About You:



Essential



Advanced Microsoft Word with good PowerPoint and intermediate Excel skills Excellent oral and written communication along with strong business English (grammar, punctuation, spelling) Minimum 2 years' secretarial/administrative experience Professional telephone manner with the ability to communicate at all levels with confidentiality Strong organisational skills with the ability to work under pressure and meet deadlines Proactive whilst actively using initiative Flexible with a positive, can-do attitude Motivated team player who enjoys a pivotal role within a team

Desirable



Experience in another professional service firm. Good standard of education up to A Levels or equivalent.
