, we are seeking a proactive and organised

Temporary Site Services Administrator

professional to join our growing team.

Experience with either electrics or plumbing would be preferred but not essential as training will be provided.

About the Role



As an

Temporary Site Services Administrator

member of our Temporary Electrics and Plumbing team, you will play a key role in supporting the division through efficient administration, coordination, and communication.

You will work closely with the

Head of Division

and

Business Development Managers

to ensure customer requirements are met, quotations and proposals are prepared accurately, and projects are delivered smoothly.

Key Responsibilities



Administrative Support



Maintain and update records for installations, inspections, maintenance logs, and permits. Manage and file essential documentation such as RAMS, service reports, and test certificates. Assist in preparing and distributing site service drawings, schedules, and as-built information. Track supplier invoices, delivery notes, and purchase orders related to temporary site services. Support sales team by completing new contractor on-boarding documents.

Coordination & Communication



Act as a key point of contact between site teams, subcontractors, and suppliers. Coordinate service installations, maintenance visits, and testing schedules. Communicate updates and service information to site managers and supervisors. Support coordination of power and water connections/disconnections in line with project timelines.

Compliance & Safety



Ensure all temporary electrical and plumbing works comply with relevant standards and hold valid certifications (e.g. NICEIC, Gas Safe). Keep accurate records of inspections, PAT testing, and water quality testing. Support health & safety procedures, including permit-to-work systems. Prepare and issue RAMS (Risk Assessments and Method Statements) for new jobs, ensuring they are checked prior to distribution. Maintain up-to-date site folders with essential documentation such as signing-in sheets and plant checklists for key clients.

Procurement & Resource Management



Raise purchase orders and complete online orders for materials, consumables, and equipment. Conduct stock takes and monitor stock levels and arrange replenishment where necessary. Liaise with the storeman to source any missing materials or plant for upcoming works.

Reporting & Record Keeping



Prepare weekly and monthly reports summarising service status and maintenance activity. Maintain electronic and paper-based filing systems. Prepare and organise job folders and strike entries for new projects. Compile job information and documentation ready for billing upon project completion. Complete and price contract and day work sheets, ensuring billing sheets are accurate and up to date.

Skills & Competencies



Strong administrative and organisational abilities. Proficient in Microsoft Office (Excel, Word, Outlook) and document management systems. Excellent communication and coordination skills. Attention to detail with a commitment to safety and compliance. Basic understanding of electrical and plumbing processes (training provided).
