In this role, you will manage driver schedules, vehicle maintenance records, and delivery documentation while ensuring compliance and effective communication across departments. The position requires strong attention to detail, excellent organisational skills, and the ability to work in a fast-paced environment supporting both day and night shift operations.

Duties:
Handover from Kosyo/Niall, report issues from early morning and deal with any other issues from other departments.
Check Lorry defect reports and file.
Send contractor's hours to accounts weekly and record.
Update driver sheets and route codes if changes are made or new customers come
File merchandising sheets.
Complete vehicle maintenance programme daily.
Vehicle maintenance records, E.G Mot's, calibration certs
Driving licences E.G check expiry date, contact drivers ref penalty points every 6 months
Record all new customers.
Check opening times for new customers
Download VT in lorry 29th on third month
Download driver's cards weekly and check for any infringements, if so report to manager and complete verbal acknowledgment and file beside driver's licence.
Record all tyre replacements.
Brief drivers on mew customers, samples to be delivered etc.
Arrange for keys to be sent to drivers either for new and existing customers.
Update van mileage once a month, record on mileage tracker and add to tracking system.
Log and report any vehicle issues to Kosyo Ivanov
Frozen orders ROI & NI, make sure information is available for pallets e.g. pallet sheet to be attached.
Update Customers on Intact
Deal with driver queries when the return to office.
Attend daily op's meeting.
Follow up any issues from ops.
Pass on RTA reports from drivers and file.
Pass on information ref new calls to palletisers, deal with queries up to home time from palletisers.
Organise glass replacement/repair for vans.
Deal with queries from sales orders ref deliveries and contact drivers for updated.
Pass on information ref late deliveries to sales/ sales orders.
Allocate online orders alongside of MMB orders, once completed send to Kosyo/Niall to confirm then print for palletiser and each copy for drivers.
Check for address issues on MMB orders and revert back to them if any.
Arrange for Aldi paperwork, pallet sheet, delivery note and order to be given to driver collecting and file our copy.
Point of contact in the afternoon for Modern tyres, Transcold and Mercedes, arranging keys to be given for onsite repairs or collection of vehicles if service or maintenance is required.
Contacting Transcold for calibration certificates, pass to quality and file for our records.
Reporting and arrange for fridge issues in vans.
Inform drivers of vans to be swapped.
Checking fuel cards are allocated to vans and record is up to date.
Record drivers cleaning sheets and pass to quality
Emailing drivers rota once completed, printing and displaying in transport office
Recording probe numbers against van and route.
Updating driver route sequence and delivery window.
Assist and support orders if they are struggling, helping with order processing and delivery notes.
Arranging schedule for holidays coming up e.g. Christmas, Easter and bank holidays.
Weekends cover.
