We are now recruiting for a proactive and organised
HGV Transport Administrator
to join our operations team at our Ashby-de-la-Zouch site.
About the Role
This role provides vital administrative support to our Transport and Compliance functions. You will be responsible for scheduling maintenance, keeping records up to date, ensuring DVSA compliance, supporting the driver team, and helping keep our fleet safe, roadworthy, and legally compliant.
The role is varied and fast-paced. You'll work closely with the Transport Manager, Workshop Providers, Drivers, and wider Ops and Sales teams to ensure daily operations run smoothly.
Key Responsibilities
Maintain accurate and up-to-date records for our fleet of HGVs and trailers
Coordinate servicing, MOTs, inspections, and repairs with third-party providers
Monitor and record vehicle defects, ensuring timely rectification
Track driver CPC qualifications and ensure compliance with driver hours/tacho regulations
Maintain records for vehicle insurance, tax, O Licence documentation, and renewals
Support in route planning, driver rotas, and shift records
Assist with onboarding new drivers (inductions, paperwork, compliance checks)
Produce weekly/monthly reports as needed for audits or internal reviews
Communicate with drivers, mechanics, external providers, and regulatory bodies professionally
Candidate Requirements
Previous experience in HGV transport administration (essential)
Familiarity with HGV compliance and DVSA regulations (essential)
Transport Manager CPC (desired)
Excellent organisation and time management skills
Strong communication and interpersonal skills
Confident using Microsoft Excel and transport/fleet management systems
Ability to work independently and under pressure in a deadline-driven environment
A flexible, hands-on approach with a good sense of initiative
Full UK driving licence (preferred due to site location)

As part of the one-week induction programme for this role, would you be open to spending time in different areas of the meat processing operation--meeting our production, warehouse, and despatch teams, and accompanying our drivers on delivery routes--to help you build relationships with future colleagues and gain a deeper understanding of our processes and products?
Are you familiar with tachograph regulation, and HGV vehicle maintenance compliance regulations?
Have you got experience with tacho compliance, HGV fleet management software, and vehicle telematics systems (TruTac, FleetCheck, Spillard etc.)?
Are you comfortable working flexitime between 06:00 and 18:00, with core hours of 09:00 to 15:00, Monday to Friday?
This role involves occasional interaction with drivers, mechanics, and operations staff. Are you confident in communicating with different teams and resolving basic issues independently?
Have you had experience managing HGV compliance related to London deliveries (e.g. London Lorry Control Scheme, Direct Vision Standard, ULEZ)?
Have you previously worked in the food industry (e.g. chilled, frozen, fresh produce, or meat)?
