The Role

As a Transport Administrator at Clayton Glass, you'll be at the heart of our nationwide logistics operation. This is a fast-paced, hands-on role where your attention to detail and coordination skills will help keep everything moving smoothly. You'll work closely with our Planning, Compliance, and Distribution teams to manage essential transport documentation, liaise with drivers and subcontractors, and maintain key systems. Your work will help ensure our fleet stays compliant, our schedules stay on track, and our service remains efficient and cost-effective.

Key Responsibilities

Logistics Administration: Manage all logistics-related paperwork including run sheets, delivery notes, and driver documentation. Ensure all returned delivery notes and daily records are checked, scanned, and accurately filed. Driver Coordination: Work with the Planning Team to confirm and issue daily driver run sheets, update holiday schedules, and support compliance with tachograph legislation in collaboration with the Transport Compliance Manager. Fleet Oversight: Maintain the vehicle service schedule and coordinate with the Transport Compliance Manager to ensure all reported defects or required repairs are addressed promptly and recorded. Delivery Execution Support: Check that all vehicles have been loaded correctly, report any failures or missed loads, and communicate follow-up plans to relevant departments to resolve issues quickly. System and Database Management: Maintain and update the Fleetcheck database (training provided), distribution costing records in Excel, and ensure all data entries are accurate and up to date. Subcontractor Liaison: Support the booking process with external hauliers and subcontractors, ensuring effective and timely communication to guarantee smooth operations. Stillage Management: Oversee stillage volumes coming in and out of the factory. Update stock levels, maintain accurate records, and raise purchase orders where needed.
Essential Criteria

Administrative Experience:?Ideally, you'll have around 2-3 years' experience in a transport, logistics, manufacturing, or similarly fast-paced environment. Experience juggling multiple tasks, managing documents, and supporting operational teams will be especially valuable. Early Start Commitment: Punctual arrival for a 6:00?am start is essential; candidates must have suitable commute arrangements IT Proficiency:?Confidence using Microsoft Excel is important, along with general ease working with databases or scheduling systems. Communication Skills:?You'll need to communicate clearly and professionally with drivers, colleagues, and external contacts. Organisation:?Strong time management and attention to detail will help you stay on top of priorities and perform well under pressure. Initiative:?Being proactive, spotting potential issues early, and suggesting solutions will be key to success in this role.
Desirable (Non-Essential) Criteria

Driving Licence:?A full UK driving licence would be beneficial, given the shift pattern Fleet or Transport Admin Background:?Familiarity with transport compliance processes, such as driver hours, transport planning software and vehicle maintenance Stillage or Stock Control:?An understanding of how stillage or stock flows through manufacturing or logistics operations.
