Summary



We are looking for individuals to join our lovely veterinary reception team, based at our Small Animal Veterinary Hospital in Bedford. We also have a part-time vacancy at our Sharnbrook branch.

The successful candidates must be helpful and cheerful, hardworking, reliable and conscientious. They must be trustworthy and able to work independently, as well as in a team. They must always be patient and understanding and be able to remain calm in a crisis. Customer service experience is essential.

Experience using word, basic excel and general computing is also essential for this role.

We provide a comprehensive induction and training program where all training is based at our Veterinary Hospital in Bedford. As a Veterinary Receptionist at Scott Veterinary Clinic, you will be the first point of contact for pet owners, providing essential support in managing appointments and ensuring a welcoming environment. Your role is vital in facilitating excellent customer service and contributing to the overall client and patient experience.

Details of Veterinary Receptionist



1. Cheerful greeting and engaging with clients and their pets on arrival/departure, using positive body language and eye contact. Acknowledgement of a waiting client, if on the phone for example.

2. General day to day running of veterinary reception and waiting/retail areas.

3. Arriving clients for appointments in a timely way and ensuring the system runs efficiently and on time.

4. Booking appointments/operations - face to face and by phone.

5. Providing appropriate client information packs, literature, leaflets, handouts as required.

6. General retail sales and provide appropriate advice on retail items.

7. Dealing with, and referring if necessary, client enquiries/grievances.

8. Receiving, processing and recording payments.

9. Providing accurate estimates for proposed services.

11. Updating and confirming client contact/address details at regular intervals.

13. Advice on basic animal care requirements.

14. Triaging calls and arranging appointments appropriately/communicating urgency to clinical staff.

15. Receiving and making internal and external telephone calls.

16. Sending of internal messages for individuals and following up in a timely way that is appropriate for the nature of the enquiry.

17. Assisting vets with administration of repeat prescription requests and liaising with clients accordingly.

18. Schedule and run regular reports and end of day procedures.

19. General administrative duties such as printing, copying, scanning, filing on PC and filing of hard copies.

20. Invoicing and administration of external laboratory fees.

21. Organisation and maintenance of the staff reference library.

22. Typing letters, certificates, reports and referrals.

25. Filing all practice correspondence, insurance forms and lab reports.

26. Communicating with other veterinary practices regarding patient histories/referrals.

27. Checking staff rotas and ensuring they correspond with appointment schedules and communicating changes to supervisor.

28. Providing holiday swaps/cover within the reception team.

Requirements



Full and part-time opportunities Monday-Saturday and including some evenings. Strong communication skills with a focus on customer service. Ability to multitask effectively in a fast-paced environment. Ability to follow direction and use your initiative. Organizational skills to manage appointments and records efficiently.
The starting salary is based on National Minimum Wage. 28 days, pro rata, annual leave entitlement (including Bank Holidays).

After successful completion of the probationary period, the successful candidate will also be entitled to the following benefits: Company Pension, Staff Discount, contributions towards gym membership and pet insurance, BUPA Healthcare, Annual leave entitlement rises by 1 day for every 2 years of service up to a maximum of 5 days.
