We are seeking a professional and friendly Receptionist to join our team. The ideal candidate will be the first point of contact for our clients and visitors, providing exceptional customer service while managing a variety of administrative tasks. This role requires strong organisational skills, attention to detail, and the ability to multitask effectively in a busy office environment.
Duties
Greet clients and visitors to the Practice in a friendly, polite and helpful manner, providing a high levels of customer care
Ensure client areas such as waiting room/bathroom/consult rooms are always clean and tidy
Ensure any visitors or contractors are logged in/out using the daily visitors' book.
Answer the telephone promptly in accordance with Practice protocols. Directing calls to the appropriate department and person, taking detailed messages as required and ensure messages are passed to the appropriate person in a timely manner
Make appointments and hospital bookings for clients according to practice policies
Dispense medications as required from vets and flea and wormer for clients
Ensure clients leave with medication prescribed and understand how and when to use it
Ensure payments are taken from clients in accordance with practice policy
Ensure provision of required documentation for consultations sessions such as client histories from other veterinary practices
Ensure laboratory samples are packaged and stored for collection in accordance with practice procedure
Order laboratory courier as required for sample collections
Process client orders in accordance with Practice policy
Advise clients about practice Health Plan and benefits
Update client communications as required
Always follow strict GDPR guidelines
Ensure telephones are transferred daily at the end and beginning of the day
Register new clients with the practice, ensuring all details are correctly updated
Ensure clients signing up or cancelling Health Plan and/or other insurance plans are updated correctly on systems
Reconcile daily takings and send daily transaction report to PM
Maintain patient records
Working understanding of charity processes
Handle client complaints in accordance with practice policy
Deal with incoming and outgoing post, and emails on a daily basis
Qualifications
Previous office / administrative experience is essential; veterinary experience is highly desirable
Proficient computer skills, including familiarity with Microsoft Office Suite (Word, Excel, PowerPoint) and practice management systems
Strong organisational skills with the ability to prioritise tasks effectively
Excellent typing skills with attention to detail in data entry tasks
Demonstrated clerical experience in a similar role is an advantage
Ability to work independently as well as part of a team, demonstrating initiative when necessary
