Our reception team are the first point of contact for our clients, both existing and new, and are therefore responsible for representing the business in a professional and enthusiastic manner and for giving our clients confidence in our award-winning care. It's not always about knowing the answer; it's about finding the answer and following through with a resolution for every enquiry.
Our reception team face a huge spectrum of queries, from the routine to the downright bizarre, and no two days are ever the same. Successful applicants will have strong problem-solving skills and be able to think outside of the box whilst operating within the rules set by various governing bodies, including the Royal College of Veterinary Standards.
Meeting and greeting clients in a professional, yet sensitive manner
Answering the telephone, dealing with queries, transferring calls, and taking messages where applicable
Liaising with vets and accurately recording details
Updating in-house notes system clearly and accurately
Coordinating appointments with the animals owners
Discussing finances and pet Insurance details
Taking card and cash payments
Accurately carrying out departmental filing
Building good working relationships with colleagues at all levels
Assisting with any other ad hoc duties when requested
It is the responsibility of our Client Care Advisors to help our clients navigate their potentially complicated and emotional journeys with us. From routine administration (including logistical, financial, and meditative) to more sensitive conversations, proficiency in face-to-face, telephone, and written communication is key. Our team are people-oriented with a strong love of animals, and the ability to adapt communication styles to best suit their recipients is essential.
Veterinary industry experience is not crucial; however, the steep learning curve will make it a definite bonus. Other valuable experience can be drawn from customer service roles and administrative positions in the healthcare sector.
Other skills and characteristics of successful applicants will include computer literacy, patience, multi-tasking, and proactivity.
