The Budget & Grant Officer will support the finance team by tracking grant expenditure, maintaining accurate budget monitoring tools, and ensuring project managers have up-to-date financial information. This role strengthens accountability, compliance, and reporting to funders, helping Kaine Management deliver projects effectively and within budget.
Key Responsibilities
1. Budget Monitoring & Tracking
Update monthly budget trackers for all grant-funded projects.
Compare actuals vs. budget and highlight variances to the Finance Director.
Support forecasting of project spends in line with grant timelines.
2. Grant Income & Expenditure Tracking
Maintain a grant schedule with start/end dates, funder requirements, and deliverables.
Track restricted and unrestricted funds.
Ensure project leads have visibility of available spend.
3. Processing & Verification
Receive and verify all grant-related invoices (via grants@ inbox).
Check coding, budget allocation, and supporting documentation.
Forward approved invoices to the Finance Officer for payment processing.
4. Reporting & Compliance
Assist in preparing financial reports for funders.
Maintain evidence logs for expenditure (receipts, timesheets, procurement documents).
Ensure grant spending adheres to funder guidelines and internal controls.
5. Collaboration & Communication
Work closely with project managers to monitor financial progress.
Share weekly or monthly updates with the Finance Director.
Support the preparation of grant claims and returns.
Person Specification
Essential
Experience using Microsoft 365.
Background in accounting, finance, or similar analytical work.
Strong numeracy and Excel skills.
Good organisational skills and ability to manage deadlines.
Interest in grant funding, community projects, and financial management.
Ability to work independently with clear and timely communication.
Desirable
Experience with budgets or grant management.
Understanding of charity accounting or project finance.
Familiarity with Sage or other finance systems.
