provides vital support to Energy Institute members and their families facing hardship. We are looking for an organised and empathetic
Secretary
to manage the fund's day-to-day operations, from processing applications to coordinating committee activities.
This role is central to the fund's success, ensuring beneficiaries receive timely assistance while maintaining efficient administration.
Key Responsibilities:
Frontline Support:
Review and process welfare and educational assistance applications with sensitivity.
Communicate with applicants, guiding them through the process and notifying outcomes.
Maintain confidential records and report on cases to the committee.
Administration & Governance:
Convene committee meetings (agendas, minutes, follow-ups).
Maintain statistical data on enquiries, applications, and outcomes.
Liaise with EI staff on finance (payments), IT, GDPR, and communications.
Communications & Outreach:
Work with the EI Comms team on marketing (Mailchimp, LinkedIn, newsletters).
Develop a communications plan to raise awareness of the fund.
Collect beneficiary feedback/testimonials (where appropriate).
Ideal Candidate:
Strong organisational and administrative skills.
Discretion and empathy in handling sensitive cases.
Experience in charity/voluntary sector administration is a plus.
Understanding of marketing and communications
Proficient in Microsoft Office and virtual meeting tools.
Ability to commit
15-20 hours per year
(flexible, remote work).
Commitment:
Serve a
3-year term
(renewable).
Attend
three meetings annually
and manage ongoing tasks as needed.
