We're looking for a proactive, detail-oriented

Wholesale Operations Admin Assistant

to manage the end-to-end coordination of wholesale shipments. This role is essential to ensuring our global retail partners receive accurate, on-time deliveries and to upholding the premium service standard expected of the RIXO brand.


This is a brilliant opportunity for someone with strong logistics experience, a customer-first mindset, and the ambition to be part of a fast-paced, high-growth team.


Key Responsibilities:




Coordinate and book shipments to wholesale partners worldwide, ensuring accuracy, compliance, and on-time dispatch. Manage all shipping logistics from order confirmation to final delivery, including issuing labels via DHL and coordinating with our 3PL. Prepare commercial invoices and export documentation (COOs, AZO certificates, etc.) using NetSuite and Excel. Maintain clear, timely communication with wholesale clients -- sharing packing lists, tracking info, and estimated delivery dates. Proactively monitor shipment progress, updating customers and internal teams to ensure a transparent delivery process. Share product data and EAN information with clients in advance of shipping windows. Maintain up-to-date wholesale customer records in NetSuite and ensure relevant teams are informed. Support the sales and finance teams with reporting on order dispatch, tracking metrics against key timelines and SLAs. Build strong working relationships with our 3PL and internal departments to troubleshoot delays or errors.

Required Skills & Experience:




Experience in wholesale or logistics operations, ideally within a high-growth fashion or consumer brand Strong working knowledge of Excel and familiarity with NetSuite or similar ERP systems Exceptional customer service and communication skills, with a confident, solutions-oriented approach Meticulous attention to detail and ability to manage multiple moving parts without losing accuracy Comfortable working in a fast-paced, team-driven environment Flexible to travel on occasion to our warehouse in Swindon to support peak shipping periods or audits
