Job Description

We are looking for an enthusiastic administrator, with great attention to detail to become part of our friendly family practice. We have two surgeries, one on Albert Road in Tamworth, with the second located in Fazeley.

The workflow team are based in our Tamworth surgery which is where this role will be based.

PLEASE NOTE: Due to the nature of the role, we require someone that has worked within the medical industry before or at least has an understanding of medical terminology.

Job Summary



Process incoming patient clinical correspondence both by paper and electronic transfer; working in accordance with practice protocols.

Process clinical correspondence safely, ensuring that it is accurately coded and that appropriate issues are passed to GPs and other members of the practice clinical team in line with agreed clinical protocols.

Teamwork



All employees are expected to display a high standard of teamwork. This includes co-operating in undertaking the work of absent colleagues or assisting others where the workload is particularly high.

We're looking for someone that can manage their own workloads but also have the flexibility and willingness, to support the wider team with whatever is needed, to ensure the smooth running of the Workflow department.

Job Responsibilities



Scanning of letters and relevant correspondence into patients' notes. The correspondence could arrive by paper, electronically or by email.

Read code diagnoses, procedures and investigations into the clinical system (EMIS).

Transfer relevant data from clinical correspondence and input into electronic patient record.

Workflow all correspondence according to the Practice's protocol using the workflow software, and actioning as appropriate

Filing and retrieving paperwork.

File copies of discharge summaries electronically.

Handle telephone queries and re-direct as appropriate.

Ensure the security of data at all times.

Have good communication skills both written and verbal, be organised, methodical and able to work quickly and accurately.

Have a good understanding of medical terminology and read codes.

Identify the complex or higher risk areas that require input or knowledge from the clinical team, and refer to GPs and other clinicians as necessary.

Process and deal with safeguarding documentation.

Maintaining GSF Register and Death Protocol

Review medical records and produce an accurate summary of the patients' medical history; updating the summary as appropriate.

Redacting patients' sensitive information.

Medical records requests.

Participate in any training programme implemented by the practice as part of this employment.

Contribute to the effectiveness of the team by reflecting on own and team activities and making suggestions on ways to improve and enhance the team's performance.

To follow the medical records return process.

Potential clinical research involvement.

Apply practice policies, standards and guidance.

Undertake any other additional duties appropriate to the post as requested by the Partners or the practice management.

Hours



35 hours per week Monday - Friday.

We require someone to be on site for 7 hours every day (Monday to Friday), however, these 7 hours per day can be worked anytime between 8.00am - 5.30pm.

This can be discussed with hiring Manager during the interview.

Pay dependent on experience.
