The Workflow Administrator will join the workflow team , playing a critical role in ensuring the effective management and processing of all incoming correspondence and associated administrative tasks. This includes opening post, scanning, filing and accurate clinical coding of documents into patient healthcare records, using Docman and the EMIS Web clinical system.
The post holder is responsible for ensuring timely and accurate workflow actions, in alignment with the Correspondence Management Policy and practice workflow protocols. Additionally, the role requires proactive communication with clinical and management staff, adherence to confidentiality and data protection standards, and flexibility in providing wider administrative support across the surgery as needed.
Primary key responsibilities
The following are the core responsibilities of the Workflow Administrator . There may be, on occasion, a requirement to carry out other tasks. This will be dependent upon factors such as workload and staffing levels:
Actioning all incoming correspondence, emails, mail and electronic documents via Docman and Emis Web in a timely manner.
Identifying relevant clinical information documented in patient correspondence, coding appropriately and accurately, completing any detailed actions, onward tasks and escalations as per the protocols.
Inputting and extracting data as required to support practice reports and protocols
Scanning, Filing and storing correspondence as required
Attaching patient related documentation to patients' healthcare records
Inputting data into patients' healthcare records as necessary
Dealing with all workflow related enquires or requests from colleagues
Take part in audits or searches as requested by the clinical or management team
Maintaining a clean, tidy, effective working area at all times
Supporting all clinical or management staff with corresponsive administrative tasks as requested
Ensure security and confidentiality of data at all times.
To ensure that any shortfalls in capacity or increases in demand are escalated so that correspondence is processed within the agreed timescales.
Replying to tasks, Emails and messages sent to you in a timely manner
Keep up to date with all eLearning and training modules allocated to the role
Regularly communicate with the line manager and clinical lead about any issues or concerns as they arise
Secondary responsibilities
In addition to the primary responsibilities, the workflow administrator may be required to:
Summarise paper medical records into the clinical system
Request or retrieve paper medical records from storage
Cover absences from within the workflow team
Provide administrative support across the surgery as requested by the management team.
We are looking for an individual who has;
*experience in a similar role (desired but not essential)
*Excellent communication skills (written and Oral)
*Strong IT Skills
*Effective time management skills
*Comprehensive knowledge of medical terminology (desired but not essential)
