The role will primarily be based at Manchester Piccadilly, but the successful candidate must be open to travel to the other two sites for training and holiday cover (roughly 5-10 weeks per year). Travel will initially be more frequent to support learning about these locations.

We are seeking a proactive and personable Facilities Assistant to support the smooth operation of our offices across Manchester Piccadilly, Manchester Dantzic, and Birchwood, Warrington. This role combines reception, customer service, and administrative support, ensuring an outstanding experience for employees and visitors.

Key Responsibilities


Operational Support
Provide day-to-day support to the Facilities Manager and office teams. Maintain records, reports, and workplace documentation in line with policies. Coordinate services such as cleaning, catering, and maintenance. Travel to Birchwood, Warrington (parking onsite, public transport + shuttle bus available) and Manchester Dantzic (15-minute walk from Piccadilly) for training and holiday cover.
Customer Service & Reception
Serve as the first point of contact for employees, contractors, and visitors. Deliver exceptional customer service in a fast-paced environment. Assist with reception duties, administrative tasks, and ad hoc office support.
Data Management & Reporting
Maintain workplace management systems with accurate data. Generate reports on office occupancy, usage, and service performance. Assist with budget tracking, invoice processing, and expense reconciliation.
Health, Safety & Compliance
Support health and safety checks, audits, and reporting. Assist with ESG initiatives, including waste management and sustainability programs. Ensure compliance with relevant policies and procedures.
Process Improvement
Identify opportunities to streamline office processes and enhance efficiency. Support the implementation of new systems or initiatives.

Professional and Personal Competencies/Qualifications


Qualifications & Experience
Proven experience in reception, front-of-house, or customer service, ideally in a busy office environment. Experience in administrative or co-ordination roles is an advantage. Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint). Excellent organisational and multitasking skills. Strong verbal and written communication. Familiarity with health and safety procedures is a plus.
