The Role



Due to continued growth, we are seeking an

experienced Accounts & Administration professional

to help lead and support our office team. This is a hands-on role where you will manage day-to-day administration, ensure accurate financial records, and act as a key point of contact for customers, suppliers, and colleagues.

You will play a central role in ensuring smooth workflows across the business, while also identifying opportunities to improve processes and enhance customer service.

Key Responsibilities



Accounts & Finance (Sage 50):

Maintain up-to-date and accurate financial records. Daily/weekly reconciliations of bank accounts and credit cards. Inputting purchase invoices, sales invoices, receipts, and orders on to SAGE as received. Credit control - ensuring debts are paid within terms, issuing statements, and following up on overdue payments. Supplier management - posting, approving, and paying invoices within terms. Monthly supplier reconciliations and weekly Sage backups. Preparing information for external accountants, VAT returns, payroll, and cash flow forecasts. Dealing with Declarations on the Traders Support Scheme for goods received as import. Prepare purchase order, place orders and reconcile incoming delivery documentation with PO details and matching invoices. Liaising with suppliers regarding queries and return of goods where required. Lodgements to bank Sorting Post and posting letters.

Administration & Operations:

Manage office workflows and delegate tasks to ensure efficiency. Act as first point of contact for customer enquiries via phone and email, dealing with initial enquiries or queries and transferring to relevant colleagues. Prepare purchase orders, reconcile deliveries, and resolve supplier queries. Manage contract and retail orders, including quotes, work orders, and dispatch. Produce weekly planning schedules/reports to keep teams up to date. Support other departments with administrative tasks as needed. Assist with Dispatch of goods to customers. Issue Labels and relevant documents Ordering and maintaining stock levels in/out on SAGE and assisting with the production facility stock take.

Customer Service & Logistics:

Ensure orders are processed, dispatched, and invoiced on time. Follow up with customers post-sale to ensure satisfaction. Arrange travel, accommodation, and logistics for staff where required.

Continuous Improvement:

Review and enhance processes to improve efficiency and service delivery. Contribute to a culture of teamwork, accountability, and customer focus.

Essential Criteria



Minimum

2 years' experience

in an accounts/administration role (industry experience preferred). Strong working knowledge of

Sage 50

, Microsoft

Excel

and

Word

. Excellent communication and interpersonal skills. Demonstrate excellent time management skills. Highly organised with the ability to prioritise tasks and manage deadlines. Proactive, confident, and self-motivated with strong attention to detail. Able to thrive in a busy office environment as part of a small team.

Working Hours & Benefits



Hours:

Monday - Thursday: 8:15am - 5:30pm Friday: 8:15am - 2:30pm (40 hours per week, with breaks at 10:30am for 15mins and & 1:30pm for 30mins)

30,000 - 35,000 (depending on experience)
