We are a leading Repair and Maintenance Specialist working within the Highways and Rail Sectors and are looking for a proactive details orientated Accounts & Administrative Assistant to join our team at our Head Office in Heathfields.

Job Role
This is a varied role combining bookkeeping responsibilities--including invoice processing, reconciliations, payroll preparation, and CIS submissions--with administrative duties such as maintaining training records, managing compliance schedules, and supporting day-to-day site and office operations.
Key Responsibilities:
Bookkeeping:
Accurately input purchase and sales invoices into the accounting system (Sage 50 Accounts), including subcontractor and supplier invoices
Reconcile accounts for subcontractors, suppliers, clients, bank transactions, and project-related expenses
Prepare and submit required documentation for HMRC, including CIS (Construction Industry Scheme) returns and VAT submissions.
Prepare weekly payment runs and receipt allocations, ensuring suppliers and subcontractors are paid in line with agreed terms.
Collate and input weekly timesheets and payroll data for site personnel
Administration:
Maintain and update the company training matrix, ensuring all site operatives and staff complete mandatory HSEQ (Health, Safety, Environment & Quality) training in line with construction industry standards and operational requirements.
Manage and maintain driver, vehicle and fatigue management schedules to ensure compliance with organisational compliance, regulatory requirements, and operational deadlines
Provide administrative support to the operations team, including document control, procurement assistance, and project file maintenance, ensuring efficient support across multiple construction sites
Previous Experience & Skills:
Experience with
Sage 50 Accounts
Strong organisational and communication skills, with the ability to coordinate between office and site teams
Excellent attention to detail, particularly in account reconciliation and compliance tracking
Proficient in Microsoft Office, specifically
Microsoft Excel
, with the ability to work with spreadsheets, trackers, and reporting tools
Proven ability to manage a varied workload and meet deadlines in a fast-paced construction environment
