We are looking for an organised, detail focused Accounts, Billing & Office Administrator to join our team at our Saffron Walden headquarters.This is a varied role with two clear areas of responsibility. You will play a key part in supporting and owning our monthly billing cycle, while also helping to ensure the smooth day to day running of our office.This is a fast paced Managed Service Provider environment, so the ability to switch between tasks, learn new systems, and stay on top of detail is essential. Full training will be provided, and we do not expect you to know everything on day one, but you must be comfortable working with technology and keen to learn.
Key Responsibilities
Support and take ownership of the preparation and distribution of monthly client invoices
Maintain recurring service charges and usage data within Inform Billing, or learn the platform if new to it
Record transactions, manage accounts payable and receivable, and assist with bank reconciliations using Xero
Act as the first point of contact for client billing queries, resolving issues accurately and professionally
Office Management & Administration
Provide front of house cover, welcoming visitors and maintaining a professional office environment
Manage office supplies, stationery and refreshments, ensuring the team is well supported
Handle incoming and outgoing post, and coordinate deliveries including IT hardware shipments
Provide general administrative support to the management team, including data entry and document preparation

Detail focused: Understands the importance of accuracy, particularly when handling billing and financial data
Tech confident: Comfortable using modern software and able to pick up new tools quickly
Proactive: Spots issues early and takes ownership to resolve them without needing to be asked
Essential Requirements
Previous experience in an administrative or office based role
Strong working knowledge of Microsoft Office, particularly Excel and Outlook
Clear and professional written and verbal communication skills
A positive, can do attitude with a willingness to learn MSP specific systems
Desirable, but not essential
Experience using Xero accounting software
Experience with Inform Billing or similar IT or telecoms billing platforms
Previous experience working within an IT or Managed Service Provider environment
