We are seeking a highly organised and detail-oriented Administrative Assistant to join our team. This role is essential in supporting daily office operations, ensuring smooth communication, and maintaining efficient administrative processes. The ideal candidate will possess strong computer skills, excellent communication skills, freindly professional telephone manner and ability to work within their role in a team.
Duties
Manage incoming calls with professionalism and courtesy, directing enquiries as appropriate
Organise and maintain physical and electronic filing systems for easy retrieval of documents
Prepare and edit correspondence, reports, and presentations using Microsoft Office and Google Workspace
Perform data entry tasks accurately into software programmes used by the clinic
Assist in scheduling meetings, appointments, and managing calendars for staff members
Handle administrative tasks including photocopying, scanning, and distributing mail
Support bookkeeping activities by maintaining accurate up to date records
Ensure office supplies are stocked and order replacements as needed
Support team members with ad hoc administrative duties to facilitate daily operations
Regular liaison with clinic manager
Requirements
Proven office experience or administrative experience in a professional environment
Strong computer skills including proficiency in Microsoft Office (Word, Excel, PowerPoint) and Google Workspace (Gmail, Calendar, Drive)
Experience with bookings software is desirable
Excellent organisational skills with the ability to prioritise tasks effectively
Good typing speed and accuracy for data entry tasks
Strong phone etiquette with the ability to communicate clearly and professionally
Social media use and familiarity is desirable
Attention to detail in document preparation and record keeping
Ability to work independently as well as part of a team in a fast-paced environment
