Core ResponsibilitiesThe key duties for a Warehouse Admin Manager position include:
Operations & Logistics Coordination:
Providing administrative support to ensure smooth daily operations, including managing the receipt, storage, and dispatch of orders on the company Warehouse Management System. This involves coordinating with transport teams, suppliers, clients, and internal departments.
Inventory and Data Management:
Accurately recording all stock data, monitoring stock levels, conducting cycle counts and physical inventories, and reconciling discrepancies using internal systems.
Documentation and Compliance:
Ensuring all paperwork (pick notes, and purchase orders) is accurate, correct, and filed properly. This role also involves ensuring compliance with warehousing, material handling, and safety regulations.
Team Supervision (Manager Role):
Planning workflows, assigning tasks, and supervising the Admin team to ensure productivity goals are met. Responsibilities may extend to recruitment, orientation, training, and performance management.
Process Improvement:
Monitoring performance metrics (KPIs) and identifying areas for improvement to enhance operational efficiency and reduce costs.
Invoicing:
The primary duty includes receiving, logging, verifying, and coding invoices into the accounting system. They perform initial accuracy checks on the WMS process, comparing the invoice against the Warehouse Activities .

Experience:
Previous administrative experience in a warehouse or logistics environment is typically required, with many management roles preferring several years of supervisory experience.
Technical Skills:
Proficiency in computer use, especially Microsoft Office (Excel, Word) and Knowledge of Warehouse Management Systems.
Soft Skills:
Strong organizational skills, exceptional attention to detail, leadership and problem-solving abilities, and excellent communication skills (both written and verbal) are essential for managing staff and coordinating with various stakeholders.
